Tender & Service Specialist

1 week ago Midrand, South Africa

The Opportunity

Join us as a Tender & Service Specialist and play a key role in managing the complete lifecycle of service-related projects. This role connects sales and operations-identifying and bidding for engineering service contracts (quotations/tenders) and, once secured, leading the smooth technical execution, resource scheduling, and financial closure of each service order.

How You'll Make an Impact

Quotations & Tender Management (Pre-Award)

  • Sales Team Interface: Support the Service Sales team with presales preparation.
  • Technical Scoping: Review RFQs/RFPs to define the Scope of Work (SoW), technical specifications, and resource requirements.
  • Cost Estimation: Prepare cost estimates for labour, parts, subcontractors, and travel.
  • Bid Compilation: Compile the complete tender pack, ensuring full compliance with B-BBEE, Tax Clearance, COID, and all technical returnables.
  • Vendor Liaison: Source and compare supplier quotations for specialized components.

Service Coordination & Execution (Post-Award)

  • Project Kick-off: Convert approved quotations into Service Orders/Job Cards within the ERP system.
  • Resource Scheduling: Coordinate with the Service Operations Manager to dispatch and schedule field service technicians or engineers, ensuring they are equipped with the appropriate tools and PPE.
  • Logistics Management: Monitor procurement and delivery timelines to ensure required parts are available and downtime is minimized.
  • Compliance Oversight: Ensure safety files and fitness certificates comply with OHS requirements.
  • Client Management: Act as the primary point of contact for client updates, variations, and progress communications.

Financial & Administrative Closure

  • WIP Tracking: Track Work in Progress to ensure service execution aligns with quoted margins.
  • Invoicing: Facilitate sign-off of Job Cards/Timesheets and initiate final invoicing after successful commissioning or handover.
  • Reporting: Maintain a Win/Loss tender register and prepare Execution Efficiency reports for the Service Unit.
  • Compliance: Ensure adherence to internal and external regulations, HSE policies, and quality standards.
  • Leadership & Teamwork: Demonstrate strong collaboration and a disciplined approach to delivering accurate, high-quality results.
  • Core Values: Uphold Hitachi Energy's values of safety and integrity-taking responsibility for actions while supporting colleagues and the business.

Your Background

  • A bachelor's degree in electrical engineering or equivalent experience.
  • 3-5 years' experience in an engineering services environment, with proven expertise in bid and tender compilation.
  • Ability to interpret engineering drawings and schematics and compile accurate Bills of Quantities (BoQs).
  • Advanced MS Excel skills, with working knowledge of MS Project and ERP systems (e.g., SAP Ariba).
  • Familiarity with PPPFA regulations (80/20 and 90/10) and South African B-BBEE codes.
  • Strong deadline management and the ability to shift effectively between sales-focused and logistics-focused tasks.
  • Willingness to travel across assigned countries as required.
  • Proficiency in spoken and written English.
