The Opportunity
We're seeking to find an Assistant to the management board / Office Administrator for our location in Sofia, Bulgaria.
How You Will Make an Impact
- Provide proactive executive administrative support to the General Manager, including documentation of internal management meetings, taking notes, tracking decisions and actions, and updating records in relevant systems;
- Coordinate and manage all aspects of internal and external meeting arrangements (e.g., welcoming guests, organizing catering, booking hotel rooms and restaurants, ensuring smooth meeting experiences);
- Oversee visitor reception and hospitality, ensuring a professional and welcoming environment;
- Manage data entry and track various documentation workflows.Act as a communication bridge between the General Manager and relevant internal/external stakeholders by providing timely reminders and follow-ups.
- Organize and maintain Microsoft Teams groups, folders, and documentation structures;
- Support travel planning and expense reporting processes;
- Handle confidential and sensitive information with discretion and professionalism;
- Responsible to ensure compliance with applicable external & internal regulations, procedures & guidelines.
Your Background:
- Min Associate Degree, (Bachelor's degree is preferred) from Management, Economics, Social Sciences, MIS or related departments;
- Proven experience in a similar executive assistant, office coordination, or administrative role, preferably in a manufacturing or industrial environment;
- Strong proficiency in Microsoft Office tools (Excel, Word, Outlook, Teams, PowerPoint);
- Excellent organizational, communication, and time management skills.Strong attention to detail and ability to prioritize multiple tasks & Proactive and solution-oriented mindset, comfortable working both independently and as part of a team;
- Fluent in Bulgarian and English proficiency; able to communicate confidently in international business environments.
