  • Manage the full lifecycle of dental practice listings, from intake through closing, ensuring accuracy and completeness of all data in Salesforce.
  • Coordinate with brokers, consultants, and clients to collect and organize financial, operational, and marketing materials required for each listing.
  • Review and validate all listing agreements, brokerage documents, and client files for accuracy, authorization, and compliance with Tier Three and Henry Schein standards.
  • Maintain an organized, secure system for managing confidential client information and legal documents.
  • Support management in implementing and maintaining standard operating procedures for listings and compliance functions.
  • Oversee Salesforce data entry accuracy and contribute to workflow and reporting improvements.
  • Train new users on Salesforce features related to listings, compliance checkpoints, and reporting.
  • Collaborate with the marketing team to ensure listings are approved and published to Tier Three's marketing channels.
  • Track compliance timelines, renewal dates, and ensure listings remain active and in good standing.
  • Support brokers with administrative documentation, listing updates, and coordination of showings or related activities.
  • Assist with preparation of internal audit materials, reports, and compliance summaries.

WHAT YOU BRING
  • Post-secondary education or equivalent work experience.
  • Strong administrative and organizational skills with high attention to detail.
  • Experience in Salesforce administration or CRM systems preferred.
  • Understanding of professional services, financial, or brokerage environments an asset.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities, meet deadlines, and maintain confidentiality.
  • Proficiency with Microsoft Office and cloud-based document management systems.
  • Bilingualism (English/French) considered an asset.
