- Ensure that all orders for our customers are delivered on time and in full.
- Key in Sales Order into the Baan System on receiving the purchase order/email confirmation from the customer.
- Cooperate and manage the orders with Planning Department team (or Planners) to ensure we can send according to customers' requirements.
- In case of orders being received with a short lead team, liaise with Planners prior to keying into the system. If that product ordered is a new product; work closely with MRP Planners to ensure that there is enough r/m to support the exact volume. COR issuance is needed for this communication.
- Urgent orders need to be negotiated with Planners and/or with other Sales Admin team to swap some production plan to fulfill maximize customer requirements/satisfaction.
- In case of encountering the raw material shortage, need to check with Planner & Procurement and Purchasing team to ensure that the raw material can be delivered in time for production. And any issue, Sales Admin needs to feedback to Sales team and/ Customer.
- In case there is trial request from customers or 1st production; need to cooperate with Planner and/ R&D and Operation team (Warehouse, QA, PD) to ensure that we can do the trial / 1st production as per the customer request.
- Coordinate with RG team to ensure all Technical documents are provided in a timely manner, e.g. Product Specification, Letter of Guarantee, Certificate of Free Sales, etc.
- Ensure that all customer complaints are handled promptly and courteously.
- Coordinate with Sales/all concerned departments to create the pack item code (...../......./.....) into Baan System once the new product is confirmed.
- In case of special shipment where an inspection is needed prior to loading the exported products e.g. shipment to Indonesia, need to contact to the inspection company to facilitate the shipment.
- Coordinate with the Freight Forwarders for booking space and also prepare the invoice and packing list for each export shipment.
- Prepare the Pro forma invoice or sales contract for specific export customers.
- Before the loading date, need to send the packing list of export shipments to WH and QA team for loading arrangement and preparing COA.
- On the loading day of export shipments, need to coordinate with the freight forwarder to get the detail of container or driver details e.g. container no., seal no., driver name.
- Prepare the Minor invoice (only liquid sauce) to WH daily/upon delivery date, C/N and D/N and for export shipments, process commercial invoice into Baan system monthly.
- In case the required documents are issued by Government or outside party, e.g. Health Certificate, need to coordinate with Freight Forwarders to prepare the necessary documents in order to get the Government documentation on time and able to send with other shipping documents (inc. INV., PL, B/L etc.) to customers by ETA.
- Coordinate with costing team to update the 19 bis no. in order to get tax reimbursement for export products in case it is frequently shipped out.
- Follow up the sales forecast with Sales team/customers in order to ensure continuous supply in following months.
- Coordinate with Finance, Sales team/customers to follow up the A/R
Toll Blend Customers:
-Calculating carton & transportation of regular shipment to customer.
-Calculating the reprocess cost just in case there is any incurred foreign body found from their r/m or packaging material.
-Working closely with Sales in case there is new product development in order to have correct selling price input to the Baan System.
