Job Description
This is an order management role to ensure after-sales service and spare parts related to the products supplied. You will be involved in planning activities managed by the relevant team. You will collaborate with Quality, Sourcing, Engineering, Logistics, and other teams to help finalize ongoing activities. This role includes daily interaction with customers and their specific requests or needs. Standardization and simplification of key processes will be crucial to success.
Essential Roles and Responsibilities:
- Verify customer request (order to which it refers)
- Request codes if not already sent by team technicians
- Verify material availability with Procurement
- Internal verification of the "cause" (check main shipping packing list + check supplier photo, etc.)
- Insert warranty into the WARRANTY FILE (SmartSheet)
- Create WBS
- Create warranty SO in SAP
- Insert HHDWARRANTY item in SAP
- Progress in SAP
- Communicate internally regarding warranty opening, indicating urgency
- Correspondence with customer
- Request update to Procurement for packaging
- Prepare shipping documents (packing list + marking + proforma invoice + certificate of origin + free export declaration, etc.)
- Shipping organization (customer + negotiations with freight forwarders)
- Correspondence with insulators suppliers in the case of shipment Direct
- Request for issuance of transport documents to logistics
- Signed spot dispatch to freight forwarders
- Communication to customer AWB number / other type of dispatch
- Send correspondence to Quality Control for any cost recovery
- Communication to Quality Control regarding the dispatch of warranties for ACT closure
- WARRANTY FILE maintenance
- Entering supplier RDAs for on-site activities
- Weekly meeting with Quality Control to define root causes and failures
- Preparation of monthly charts for Cascade Fulfillment Leader
- Preparation of monthly charts for Quality Control for Customer Care Initiative
- Management of Exceptions (correspondence with customer + preparation of documents + shipment organization)
Qualifications / Requirements :
- Full time in presence work at the Grid Solutions S.p.A. Via Antonio Meucci, 22 - 30020 Noventa di Piave (VE)0, Italy office is required
- Internship duration: 6 months
- No specialized training is required (easy to follow tasks)
- Student or undergraduate/bachelor's/master's degree candidate: economics or similar, or equivalent knowledge or experience
- Good command of English (knowledge of other languages is appreciated)
- Position requires a candidate having completed his/her studies (no active student status)
- Note: no public transport available to the factory
- As daily based, full time office work is required it might be advantage if candidates lives not far from the factory (GE cannot support relocation)
