Job Description Summary

HR Operations Administrator (part time / 15-20 hours/ week)

As an HR Operations Administrator, focusing on Document Management, you will be responsible for the end-to-end management of physical and digital HR documentation. You will serve as the primary point of contact for document processing, ensuring that employee records are handled with high accuracy and compliance. Beyond core operational tasks, you will maintain a key relationship with our external document management partner and drive continuous improvements to our documentation workflows using Lean methodology.

Job Description

Essential Responsibilities:

  • Document Processing & Routing: Manage all incoming mail, including scanning, digital filing, and sorting documents to the appropriate internal teams and processes.
  • Workflow Coordination: Facilitate the signing process by preparing, printing, and distributing documents to employees, ensuring clear instructions and timely return.
  • Compliance & Lifecycle Management: Monitor and track all signed documentation, ensuring they are accurately registered in our systems and dispatched to the document management provider within established service level agreements (SLAs).
  • Operational Excellence: Support HR Operations services (e.g., Onboarding, Offboarding, employee lifecycle) by ensuring structures and systems are aligned to deliver key objectives.
  • Query Resolution: Understand employee questions regarding documentation, providing professional guidance and a positive employee experience.
  • Process Improvement: Proactively identify process gaps or failures. Use Lean methodology to implement solutions and participate in projects focused on simplifying and digitizing document management solutions
  • Compliance & Accuracy: Maintain high standards of data integrity and quality control, ensuring full compliance with legal requirements and GE Vernova internal policies.
  • Knowledge Sharing: Continuously build and share expertise in document governance, keeping up to date with internal policy changes and external best practices.

Qualifications/ Requirements:

  • Bachelor's degree in Human Resources or related Business degree from an accredited university or college or equivalent knowledge or experience
  • Fully professional German and Englishlanguage knowledge both verbal and written
  • Some relevant professional work experience with demonstrated achievement in Service-oriented environment.
  • Ability to work in a complex and rapidly changing work environment across multiple stakeholder groups, with comfort and efficiency
  • Ability to communicate effective through written and verbal communication and consistently deliver high quality customer service in a professional manner
  • Demonstrated effectiveness to prioritize between tasks with different deadlines, complexity

Desired Characteristics:

  • Strong problem-solving skills to quickly identify and present the creative/collaborative solutions
  • Previous experience working with Workday and any ticketing system is an advantage
