Org/Team: DD&AI Digital Solutions Hub
The Role
Be the hands-on executor for administration, configuration delivery, and release execution in the assigned domain (Quality). Deliver stable operations and predictable releases within the platform standards. Contribute to resilience through cross-cover and knowledge sharing (especially supporting ramp-up across domains).
Key accountabilities
- Run operations (BAU): Admin/access governance execution, vault hygiene, incident/request handling in collaboration with Service Desk and external MS (2nd level).
- Configuration delivery (change): Implement approved configuration changes, maintain configuration specifications, contribute to impact assessments, and ensure traceability.
- Release execution: Drive release readiness activities, deployment lists, cutover coordination, and hypercare for the domain's cadence.
- Documentation completeness: Ensure the required documentation/evidence is complete and linked for each change (e.g., Change Control record, config spec, deployment list/cutover steps, and linked UAT evidence produced/approved by spokes).
Core responsibilities
- Execute configurations in line with design authority decisions and standards; flag exceptions early.
- Prepare and maintain configuration documentation and operational runbooks; keep environments "clean and consistent".
- Coordinate with the spoke Product Lead on UAT readiness/timing (spoke owns UAT scripts/execution/approval).
- Direct external execution where appropriate:
- external MS: documented execution + evidence compilation + 2nd level ops (under hub direction)
- Veeva MS: only pre-approved "no-doc" catalog tasks
- Veeva PS: projects/integrations under Platform Owner governance
- Support cross-training: share patterns/runbooks and provide backup coverage for key release activities
Success measures (6-12 months)
- Reliable releases with complete documentation packs (no "documentation debt")
- Improved operational stability (fewer repeat incidents, faster resolution of recurring issues)
- Reduced lead time for standard change types
- Demonstrated cross-cover readiness (runbooks + ability to support critical release steps)
Explicitly out of scope (to avoid overlap)
- Owning business roadmap or final prioritization
- Owning URS/business requirements authoring (spoke-owned)
- Owning business validation approvals (risk/UAT approval)
Requirements
- Bachelor's or Master's degree in Life Sciences, Engineering, Quality, or IT (Veeva/Agile certifications is a plus)
- 5-7+ years of experience with Veeva Vault (ideally Veeva Quality) in a GxP life-sciences environment
- Proven ability to act as Product Owner/Business Partner for digital quality systems, defining roadmaps and prioritizing backlogs
- Experience collaborating with QA, Manufacturing, Supply Chain, and IT/Digital in matrixed global organizations
- Hands-on skills in Vault configuration (metadata, lifecycles, document types, security roles, vocabularies)
- Skilled in requirements gathering, URS writing, functional specs, and facilitating cross-functional design workshops
- Ability to lead UAT, perform impact assessments, and support compliant release/change processes
- Track record identifying and delivering automation/simplification opportunities (templates, metadata, AI-assisted search)
- Strong communication and change management skills, including training creation and driving user adoption
