The Role & Department

The Senior Administrative Assistant is a trusted, high-discretion partner to the Vice President, Head of US Medical Affairs (USMA), and the USMA Leadership Team. This role provides comprehensive executive administrative and operational support, enabling leaders to operate at maximum effectiveness in a dynamic, fast-paced environment. The successful candidate is highly organized, proactive, and adaptable, with exceptional judgment and the ability to anticipate needs, manage competing priorities, and execute with accuracy and professionalism. This role also plays a key part in supporting department operations, leadership meeting cadence, cross-functional collaboration, and employee engagement activities.

Work arrangement: This role offers flexibility to work away from the office for 20%-40% of a typical schedule. Employees may use this work schedule in increments of single days or multiple consecutive days, provided it does not exceed 40% within a 60-day period, and is approved by the hiring manager.

Key responsibilities:

• Executive Support

  • Provide comprehensive administrative support to the VP, Head of US Medical Affairs, and members of the USMA Leadership Team.
  • Independently manage complex calendars, meeting schedules, travel arrangements, and expense reports.
  • Handle confidential information with professionalism and discretion.
  • Prepare leaders for meetings by ensuring agendas, logistics, attendees, and materials are coordinated.
  • Respond to correspondence and communications on behalf of leadership as appropriate.

• Operating cadence & Meeting Governance

  • Coordinate recurring department and leadership meetings, including Leadership Team meetings, All-Hands, planning sessions, matrix meetings, and one-to-one meetings.
  • Partner with the Strategy & Operations Lead to coordinate meeting logistics, compile pre-reads, manage agendas, document action items, and support follow-up activities.
  • Arrange and support virtual and hybrid meetings, including room reservations, audiovisual support, Microsoft Teams logistics, meeting minutes and/or action items.

• Travel, Expenses & Department Administration

  • Coordinate domestic and international travel, including complex itineraries and last-minute changes.
  • Prepare and reconcile expense reports.
  • Maintain departmental records, employee contact information, and organizational documents.
  • Submit job requisitions, purchase orders, contracts, and statements of work through company systems.
  • Coordinate employee onboarding and offboarding activities.

• Project & Operational Support

  • Support department projects and strategic initiatives in partnership with the Strategy & Operations function.
  • Conduct research, gather information, and prepare materials to support leadership decision-making.
  • Prioritize activities based on departmental objectives, business priorities, and customer needs.
  • Anticipate leadership and team needs, proactively identifying solutions with minimal supervision.

• Events & Employee Engagement

  • Plan and execute logistics for leadership meetings, team meetings, All-Hands, offsites, and employee engagement events.
  • Coordinate conference/meeting logistics, including scheduling and executive travel readiness.
  • Collaborate effectively with internal and external administrative partners, cross-functional teams, and external stakeholders.

• Continuous Improvement

  • Identify opportunities to improve administrative processes, meeting effectiveness, and team operations.
  • Leverage productivity tools and AI-enabled technologies, including Microsoft Copilot and Microsoft 365 applications, to improve efficiency and effectiveness.

Qualifications:

  • High school diploma or GED required; associate or bachelor's degree preferred.
  • Minimum 10 years of administrative experience, including at least 5 years supporting senior executives (Vice President level or equivalent), preferably within the biotechnology, pharmaceutical, or healthcare industry.
  • Demonstrated experience supporting multiple leaders in a fast-paced, highly collaborative environment.
  • Experience supporting executive operating cadence, including leadership meeting governance, agenda development, and action tracking.

For US based candidates, the proposed salary band for this position is as follows:

$72,240.00 - $108,360.00

The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, and location. Also, certain positions are eligible for additional forms of compensation, such as discretionary bonuses and long-term incentives.
