ELS is hiring for the position of Office Manager in Cortez, Florida.

What you'll do:
The Marina Office Manager is responsible for the efficient operation of the marina's business office, ensuring all administrative, financial, and customer service duties are performed accurately and professionally. This position requires a high degree of organization, strong communication skills, and a welcoming presence to foster a positive environment for marina members and guests.

Essential duties and responsibilities:

  • Customer service and communication:
    • Greet all customers, vendors, and guests, providing a welcoming and professional first point of contact.
    • Answer phones and respond to emails in a timely and professional manner, addressing inquiries about marina services, rates, policies, and availability.
    • Serve as a resource for current and prospective members, providing information and resolving questions or complaints.
    • Aid/oversee office staff in maintaining a clean, well-kept marina office and facility.
  • Financial and administrative support:
    • Manage and process accounts receivable and accounts payable, including slip rentals, fuel sales, and other services.
    • Handle daily deposits and reconcile credit card and cash transactions.
    • Assist the accounting team and general manager with compiling data for financial reports and budget tracking.
    • Process and maintain all rental agreements and lease contracts for slips and storage.
  • Record-keeping and office organization:
    • Maintain accurate and up-to-date records for all marina tenants, waitlists, and vendors.
    • Manage and organize office files and technology systems, including computers, phones, and email accounts.
    • Order and maintain inventory of office and store supplies.
    • Manage and keep updated all marina spreadsheets
  • Operational support:
    • Assist in scheduling and coordinating marina-related events.
    • Support general marina operations by coordinating with the administrative assistant, dockhands and drivers.
    • Enforce marina rules and regulations with diplomacy and tact.
    • Maintain the security of the property by controlling access and following established procedures.
    • Maintain open communications with all property and regional staff.
    • Work closely with GM to develop an integral team that effectively represents the quality and professionalism of the company.
    • Follow SOP for assisting with, investigating and closing cases of barn damage; including organizing pictures, narratives, vendors and emails.
    • Perform additional duties as assigned by management.
  • Continuing Education:
    • Attend and participate in training programs and seminars as required. Complete Learning courses in a timely manner.

Qualifications and skills:

  • Proven experience in an office administrative or management role, with strong proficiency in Microsoft Office (Word, Excel). Experience with marina management software (e.g., DockMaster, SpeedyDock) is a plus.

Strong organizational and time management skills, with the ability to manage multiple priorities effectively in a fast-paced environment.

Exceptional customer service skills and the ability to handle a variety of inquiries and resolve conflicts.

  • Ability to oversee office staff and delegate tasks.
  • Excellent written and verbal communication skills.
  • Dependable, punctual, and able to work independently or as part of a team.
  • Flexibility to work weekends, holidays, or additional hours as needed, especially during the peak season.
