Projects Coordinator
Eaton's Electrical sector is currently seeking a Projects Coordinator to join our team. This position is based at our Mississauga, ON facility and offers benefits from day one.
What you'll do:
As a Projects Coordinator, you'll play a key role behind the flawless execution of major initiatives-ensuring accuracy, compliance, and efficiency at every stage. In this pivotal role, you'll champion financial transparency by reconciling and reporting project costs, streamline warranty management through meticulous tracking and timely resolutions, and orchestrate critical operational tasks like purchase orders, shipping documentation, and customs paperwork. Your ability to keep processes organized and stakeholders informed will make you an essential partner in delivering projects that exceed expectations.
Essential functions:
People collaboration;
- Foster a collaborative environment that reflects Eaton's values.
- Promote continuous improvement through active participation and teamwork.
Process, Continuous Improvement, and/or Development;
- Support the implementation of corporate initiatives such as Lean (e.g., 5S), MESH, and EBS.
- Partner with team members to achieve productivity, quality, and safety improvement targets.
- Assist the Projects Operations - Commercial Operations Team with monthly financial tracking updates by:
- Gathering, tracking, and reconciling project costs for accurate reporting.
- Generating reports using Oracle Projects, QlikView, and Power BI for integration into tracking tools.
- Importing and maintaining financial data within tracking systems.
- Collaborating with Project Managers to assign and update budget IDs.
Warranty Management;
- Establish and maintain a centralized warranty tracking system for all major projects.
- Monitor warranty periods using Global Vista, Oracle, and Excel reports.
- Notify stakeholders when warranty claims exceed budgeted amounts.
- Track warranty claims, resolutions, and associated costs to ensure timely closure and invoicing.
- Ensure all warranty documentation is properly filed and linked to corresponding project records.
Operations and/or Development;
- Assign purchase orders to correct projects, ensure costs are accurately applied, correct Expense Errors.
- Maintain organized and up-to-date project files, order acknowledgments, and customer contact information.
- Prepare shipping documents and packing slips as requested by Project Managers.
- Request export documentation from Eaton's customs group by completing the required forms.
- Forward customs paperwork for imports from the USA or other regions to Eaton's customs group.

- Communicate with administrative, plant and supervisory staff as required.
- Perform overtime as necessary in accordance with both Eaton policy and legislative requirements.
- Provide and/or participate in training as required.
- Comply with company rules, regulations and policies as stated in the Employee Handbook.
- Act as team player and participate in department and/or plant committees.
Occupational Health and Safety
- Work in compliance with Occupational Health and Safety Acts and regulations.
- Work in a safe manner as required by Eaton's Management system for Environment, Safety, Security and Health (MESH) requirements, Eaton's Safety Policy and Eaton's Life Saving Rules
- Use personal protective equipment, materials and protective devices or clothing as directed by Eaton
- Report workplace hazards or unsafe conditions to the supervisor or manager
- Report any known missing or defective equipment or protective device to the supervisor or manager
- Follow the procedures and risk control measures as required by written work instructions, workstation risk assessments and non-routine work plans
- Report to Eaton all work-related accidents, occupational diseases/illnesses, or other hazardous incidents
- Co-operate with any person carrying out a duty or function required by OHS legislation and standards

Operational Excellence
- Report any system, equipment, or tool deficiencies and product nonconformities promptly.Support Eaton's strategic initiatives and comply with Eaton Quality System (EQS) policies.Contribute to continuous improvement through Eaton Lean Systems by identifying opportunities to:
- Optimize workstations and layouts
- Reduce costs and material handling
- Improve flow, efficiency, and product quality
- Maintain Lean awareness and collaborate with Lean Associates to sustain progress.
Qualifications:
Basic Required Qualifications:
• Completed College Diploma (2 year studies).
• Minimum of 1 year of experience working in a high-volume administration function.
• Experience with Microsoft Office products including Excel and Word.
• Legally authorized to work in Canada without company sponsorship now and in the future.
• No relocation is provided.
Preferred Qualifications:
• Diploma in Business Administration or Accounting.
• Experience in accounts receivable, accounts payable, and order entry.
• Experience with ERP systems ie Oracle, SAP or Salesforce.

The expected annual salary range for this role is $69000 - $87000 a year.
