Project Administrative Support
What you'll do:
The Remote Project Admin provides essential administrative support for Eaton's large data center projects, working remotely to ensure all processes are clear, data is accurate, and reports are timely. In addition to core project admin duties, this role also acts as a remote support resource for all On - Site Admins, offering guidance, troubleshooting, and process optimization across multiple construction sites.
Core Project Admin Tasks
• Collate and file EHS documentation received from site teams; maintain digital EHS folders.
• Coordinate safety training for new personnel and visitors, liaising with third parties remotely.
• Manage personnel data in Data Scope System, supporting site teams with remote onboarding.
• Book, track, and chase deliveries in coordination with on-site staff; arrange Eaton presence as needed.
• Process timesheets submitted by site teams; generate remote overviews and statistics.
• Maintain and update daily/weekly work schedules based on site input.
• Collect and organize test results/certificates from site engineers and third parties; ensure correct digital filing on SharePoint.
• Uploaded/provided collected test results/certificates to Client`s project platform.
• Attend virtual toolbox talks and progress meetings; facilitate remote documentation and sign-off.
Remote Support to Site Admins
• Serve as first-line support for Site Admins
• Develop and share best practices, templates, and process guides for site administration
• Monitor compliance with administrative processes across sites; recommend improvements.
• Support Site Admins during absences or rotations by covering meetings and tasks remotely
General Responsibilities (include but not limited to)
• Identify opportunities for continuous improvement and implement process enhancements to improve workflow, communication, and operational performance.
• Ensure digital clean desk policy and maintain remote office supplies as needed.
• Maintain digital EHS HRA wall with weekly site updates.
• Collate part/serial numbers from sites and update customer asset control systems remotely.
• Any other reasonably requested tasks to ensure smooth project operations.
Qualifications:
- Bachelor desirable
- Minimum of 3 years previous administration for a team and/or a demanding environment.
- Experience in construction or other project environments a plus
Skills:
- Advanced working knowledge of Microsoft Office 365 and remote collaboration tools (Teams, SharePoint, etc.)
- Must be experienced with Microsoft product suite
- Additional familiarity with Nexus, Datascope, ViewPoint and SharePoint would be seen as a plus
- Proactive, accountable, structured, resourcefull, and able to work well with both In- and External Stakeholders
- Must have right to work in the EU
