Executive Assistant & Communications Coordinator

What you'll do:

This role combines executive business operations support with strategic internal communications to improve leadership effectiveness and employee engagement across the business unit.
The position acts as a trusted partner to the General Manager and BU leadership team, ensuring priorities are well-coordinated, decisions are followed through, and communication is clear, consistent, and engaging across multiple countries and production environments.
By bridging operations, leadership, and communication, the role plays a critical part in driving alignment, execution, and cultural cohesion across the business.

50% Business Operations Support

  • Support the General Manager with travel planning, expense reporting, and calendar management, ensuring efficient use of executive time.
  • Assist the BU leadership team by coordinating meetings, preparing agendas, documenting decisions, and tracking follow ups to ensure effective execution.
  • Act as a central coordination point for leadership priorities, ensuring alignment across functions and geographies.
  • Prepare basic management materials (presentations, summaries, dashboards) to support leadership reviews and decision making.
  • Monitor progress on key initiatives and proactively flag risks, delays, or dependencies.

50% Communications Specialist

  • Lead internal communications across the business unit, with a strong focus on production facilities in Turkey and the Netherlands.
  • Produce engaging multimedia content (videos, interviews, site stories) to share best practices and strengthen connection across locations.
  • Develop newsletters, announcements, leadership messages, and change communications to enhance transparency and engagement.
  • Act as an advisor on internal messaging, ensuring alignment with business objectives, leadership intent, and company culture.
  • Support leadership during organizational changes, ensuring messages are timely, consistent, and well received.
  • Coordinate with EMEA / corporate communications teams to cascade global messages and ensure local relevance
  • Provide bottom-up input from the BU to the EMEA Communications team

Qualifications:

  • Bachelor's degree in Business Administration, Communications, Marketing, Human Resources, or a related field
  • 3-5 years of experience in one or more of the following areas:
    • Business operations / executive support
    • Internal communications
    • Program or project coordination
    • Corporate or leadership communications
  • Experience working in a matrix or international organization
  • Exposure to manufacturing, operations, or industrial environments is a strong advantage

Skills:

  • Strong proficiency in Microsoft 365 (Outlook, PowerPoint, Excel, Teams, SharePoint)
  • Experience creating presentations, executive summaries, and leadership materials
  • Practical knowledge of internal communication channels (intranet, newsletters, Teams, email campaigns)
  • Basic experience with video creation and editing tools (e.g. filming, simple editing, publishing)
  • Ability to manage multiple priorities, timelines, and stakeholders simultaneously
  • Exceptional communication skills - clear, concise, and audience focused
  • High level of discretion, trustworthiness, and professionalism when supporting senior leaders
  • Strong organizational and prioritization skills with attention to detail
  • Ability to work independently and proactively, anticipating needs before they arise
