Lead, Meeting & Event Services Meeting Planner - Marketplace
Position Summary
This position is responsible for the strategic planning, management and execution of Deloitte hosted events and corporate trade shows with a primary focus on the Ecosystem & Alliance event portfolio within the Marketplace Planning Team. The position requires advanced meeting and event planning experience with ideal experience/background with trade shows and exhibitions from sourcing, contract negotiation, logistics management and seeing through to flawless execution. While owning their own book of business within the E&A Portfolio, the Lead Event Planner will own various processes and provide mentorship over people. Lead Event Planners will collaborate with colleagues on projects related to processes, documentation, resourcing, technology and event tools, planning, automation, vendor management and client service. A Lead should drive MES' business priorities forward, innovate new meeting solutions, and deliver distinct client experiences. Leads are expected to identify opportunities to elevate our brand and service model and are expected to manage high-profile events to ensure flawless execution. The role will reside within the Meeting & Event Services Marketplace Planning team and support and work directly with the Ecosystem & Alliance Marketing group to execute on the vision and scope of the event. The ideal location for the position is in Las Vegas, NV. Will consider other large west coast-based cities.

Qualifications:
Required:
- 5-7 years of relevant experience in planning complex meetings and events (experience in sourcing, contracting, budget management and logistics management for meetings or events)
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future
An Ideal Candidate Will Possess:
- Relationship management & excellent communication skills: Ability to build relationships and trust quickly with leadership and stakeholders
- Project management - ability to understand scope, create timelines and detailed event forecasts, and deliver on time to budget
- Local event market expertise and knowledge with existing network of venues and vendors
- Solutions & results oriented
- Ability to work independently on multiple projects simultaneously and under deadlines
- Ability to handle high volume workload and fast pace; manage stress
- Strong working knowledge of Word, Excel, Outlook and Zoom is preferred
- Excellent customer service
Lead Planner Responsibilities:
- Lead in the development and implementation of process improvement strategies and initiatives including but not limited to, identifying efficiencies, best practices and enhancements.
- Collaborate with other Leads within MES to create, consolidate and maintain onboarding and training materials, SOPs and process documents. Take an in-depth look to identify processes to be streamlined.
- Support management with onboarding, mentoring and training team members.
- Lead Planner should own at least one specific process or portfolio and continue to refine and streamline to ensure efficiency
- Serve as a subject matter expert in the Meeting and Events Services' area of focus
Event Planning and Execution:
- Manage, plan, and execute the Deloitte Ecosystem & Alliance live event portfolio including, but not limited to, events and industry conferences and trade shows.
- Travel to and provide onsite support at events throughout the year (multi-day conferences)
- Deliver engaging and thoughtful customer experiences at events ranging from intimate client dinners, receptions, product demos and large-scale hospitality events.
- Partner with Marketing on tradeshow booth production, technology integration and overall hospitality elements.
- Source appropriate venues and vendors on behalf of meeting stakeholders to capture vision and objective of event while also meeting budget, size and location/date requirements.
- Manage all event coordination including day-to-day administration, speaker, venue, vendor communication, and cross-departmental collaboration.
- Clearly communicate objectives, project status and updates to meeting stakeholders on a consistent basis
- Deliver exceptional client service with a consultative, solutions-oriented approach
- Forecast management and impeccable data integrity
- Strict adherence to meeting protocols (cost saving measures, risk policies, contract approvals)
- Manage and produce virtual events when applicable, including speaker agreements, run of show and any other 3rd party vendor coordination.
- Frequent interaction and communication with firm leadership and external clients through meeting registration and coordination
- Serve as single point of contact for both the event sponsor and the event venue
- Develop detailed run of show and event timelines for stakeholders and vendors.
- Review, manage and negotiate contracts with off-site venues and event vendors; leverage cost savings when applicable (production, event décor, entertainment, transportation, special supplies/materials, temp assistance)
- Audit and submit all event related invoices for processing
- Post meeting reporting and reconciliation

The Marketplace Event planning team within MES focuses on planning, managing and delivering local events throughout the country (i.e. holiday events, retirement parties, marketing and client events, internal training or culture building events, etc.) Our team members work collaboratively and apply their specialized knowledge and skills to think proactively to provide a holistic customer-centric "experience" for our Deloitte professionals, clients, and guests attending events

This compensation range is specific to Nevada and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At Deloitte, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $86,600 to $134,300.
