GENERAL PURPOSE OF THE JOB:

The Associate Executive Director, Operations plays a leadership role in the strategic direction of Bridge of Life's programs and operations, as well as their evolution and integration. This position will design, direct and oversee the organization's key programs, streamline internal processes, and oversee monitoring and evaluation systems. The Associate Executive Director, Operations will work closely with the Executive Director and Board members to develop effective program messaging that results in strong fundraising appeals.

The Associate Executive Director, Operations works cross-functionally to develop efficient tools and ensure smooth program operations. This role ensures efficient and effective processes across multiple programs and geographies.

This position also ensures that all program missions are led by a competent and effective staff member or contract position, and will be expected to lead the majority of international chronic disease prevention missions. They will oversee the training and expectations of all mission leads to ensure that Bridge of Life's standards of program work, partner interaction and volunteer experience are consistently achieved.

MAJOR RESPONSIBILITIES:

The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all-inclusive.

Strategic direction and oversight of all BOL programs

  • Develop and oversee the implementation of international and domestic program strategies that align with organizational goals and those of BOL's major supporters.
  • In partnership with the Executive Director, define the strategic direction of BOL's programs
  • Analyze and improve operations across the organization
  • Oversee program budget and resource allocation to maximize funding impact
  • Ensure compliance with international regulations and standards
  • Identify and mitigate operational risks
Communications and Fundraising
  • Support the organization's communications strategy with qualitative and quantitative program data and stories
  • Support fundraising requests (direct asks, campaigns, grant applications etc.) with current and compelling material
  • Represent the organization by making in-person and virtual presentations internally and externally
  • Partner in development of program narratives to be included in impact reports, website updates and other materials
Operations Support
  • Conduct research to support program strategies, including identification of project locations and potential partners
  • Define the products and develop internal procedures to increase operational efficiency across the organization (i.e. shared files, project management tools, communication protocols etc.)
  • Contribute to strategic planning, events, development efforts, Board meetings, and other core operations
  • Draft program-related policies, procedures, and checklists
Program Administration
  • Ensure that systems for tracking partner and volunteer applications are developed and maintained
  • Oversee in-kind donation inventory and usage, and support efforts to secure donated supplies and equipment
  • Oversee the purchasing of program supplies, coordinate shipments, and manage customs approvals and related logistics for
  • Oversee the organization of program materials and support the development of new materials (certificates, training decks, brochures, surveys, etc.)
  • Draft or ensure the existence of partner agreements and MOUs with project lead and partners
  • Represent Bridge of Life at internal and external events
Volunteer Recruitment & Engagement
  • Implement volunteer recruitment strategies for BOL projects
  • Ensure the oversight of a volunteer database along with satisfaction surveys, testimonials, , etc.
  • Assist in the development of new and innovative strategies to effectively prepare volunteers for medical trips in specific countries across the globe
  • Lead post-mission initiatives to show appreciation and equip volunteers to serve as BOL ambassadors
  • Define the strategy on volunteer service projects in the USA that directly support BOL's international initiatives
Monitoring and Evaluation (M&E)
  • Oversee the operations manager to strengthen and maintain program databases for tracking outcomes and performance
  • Analyze program data and assist in creating reports that include statistical, narrative, and graphical analysis
  • Provide updates quarterly and as requested by BOL leadership
  • Use data to develop new strategies that enhance program design, impact, and overall organizational effectiveness
MINIMUM QUALIFICATIONS:
  • Bachelor's degree in a relevant field; masters degree preferred
  • 10+ years of related experience
The ideal candidate has demonstrated the following:
  • Passion and commitment to improving healthcare for underserved populations
  • Project management training and experience
  • Ability to track and analyze data
  • Excellent interpersonal and communication skills
  • Ability to prioritize and adapt based on changing priorities
  • Ability to manage multiple high-priority projects and deadlines
  • Ability to prioritize and work independently while maintaining teamwork and collaboration
  • Computer skills: Excel (including dashboards and pivot tables), PowerPoint, Tableau, Filemaker, Teams
Other preferred skills and experiences include:
  • Experience in the nonprofit and/or healthcare sectors
  • Experience working with volunteers
  • International travel/cross-cultural experience
  • General knowledge of international health, international development and related organizations
  • Fluent in Spanish
TRAVEL REQUIREMENTS:

This role requires some domestic and international travel (approximately 20-25%)

PHYSICAL REQUIREMENTS:

Ability to lift up to 25 pounds (for packing and shipping supplies)

SALARY RANGE:

Dependent on experience.

Bonus potential based on contributions to achieving organizational goals.
