We are looking for a talented Service Assistant I to join our team in Rio de Janeiro, RJ | DCB .

In this role, you will make an impact by placing and tracking orders for parts and services needed for the Services department's activities. You will manage and schedule visits for customers with active contracts, ensuring that established schedules are met. You will also manage the fleet of vehicles used by Services technicians, monitoring their availability and usage. You will assist in creating, updating, and monitoring technicians' service calls through the SIMOVA system, ensuring that activities are carried out correctly. You will also support the control and tracking of Service Department expenses, contributing to the department's budgetary and financial management.

Key Responsibilities:

Answers telephones, screens calls and takes messages so callers/visitors are dealt with promptly, courteously and accurately.

Transcribes, type, format and proof reads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.

Coordinates internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees and ensuring that various meeting amenities are available.

Manages the appointments and schedules of staff in the unit.

Uses office equipment such as photocopiers, faxes and printers.

Performs other administrative tasks according to established guidelines and procedures so these activities are completed accurately and on time.

Activities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.

Education and Qualifications:

  • To be successful in this position, you will need:
  • High school diploma.
  • Proficiency in Microsoft Office.
  • Currently pursuing or having completed a bachelor's degree in Business Administration, Quality Management, Engineering, and/or related fields.
  • English language proficiency is a plus.

Experience:

  • Experience in administration, customer service, sales, and services.
  • Professional communication skills (oral and written) and active/assertive listening.
  • Knowledge of order management, organizing spreadsheets/requests, and supplier relations.
