Job Summary
HYBRID ROLE
The Administrative Associate - Level IV serves as an extension of senior management, ensuring seamless operations and a positive customer experience while representing leadership to internal and external stakeholders. This role provides high-level administrative support, including scheduling, correspondence, reporting, travel arrangements, and coordination with both internal teams and external partners. Additionally, the role supports export control activities, including restricted party screening, documentation, compliance updates, and reporting, ensuring that Cummins operations adhere to global trade and compliance regulations.
Key Responsibilities
- Provide full administrative support to senior management, including anticipating needs, managing schedules, and ensuring smooth day-to-day operations.
- Arrange and coordinate travel logistics, including visas, passports, accommodations, and expense reporting.
- Draft, review, and prepare documents such as memos, reports, speeches, presentations, letters, and news releases.
- Facilitate communication between senior management, employees, customers, vendors, and external parties.
- Maintain confidentiality and security of management records and files.
- Monitor and manage expenditures, ensuring office activities remain within budget.
- Support Export Control activities:
- Conduct Restricted Party Screening for Cummins India shipments to ensure compliance.
- Maintain and update work instructions and documentation in the Document Management System.
- Regularly update the Export Controls Connect page and track regulatory changes in global tracking tools.
- Monitor export control emails and assign inquiries to respective team members.
- Generate and publish KPI reports and progress updates on compliance screening.
- Provide mentorship and act as a resource for colleagues with less experience.
- Handle independent decision-making tasks such as preparing meeting materials, screening inquiries, and coordinating official communications.

Qualifications
- Education :
- High school diploma, secondary education certificate, or equivalent.
- Additional certifications in administration, compliance, or data management are a plus.
- Licensing : May require compliance with export controls or sanctions regulations.
QUALIFICATIONS
Skills & Experience
- Significant prior administrative experience supporting senior leaders or executives.
- Strong knowledge of export controls, compliance, or logistics processes preferred.
- Proven ability to manage multiple priorities, maintain confidentiality, and exercise sound judgment.
- Experience with document management systems, compliance tools, and data reporting.
- Strong written and verbal communication skills; ability to draft professional correspondence and presentations.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with digital collaboration tools.
- Ability to work effectively in a hybrid work model, balancing office and remote responsibilities.
