We have an exciting opportunity for an experienced Executive Assistant to join CSL and support the Head of Corporate Affairs and the Corporate & External Affairs (CEA) team in Melbourne.
While the Head of Corporate Affairs is located in Melbourne, there are team members and important partners and stakeholders in other locations globally, including Europe and the U.S. In addition to the Head of Corporate Affairs, this role will work with several other Melbourne-based members of the CEA team.
This role will suit someone who has an interest in communications, the biopharma industry and is passionate about making a difference in public health.
Your Role
- Provide high-level administrative support and help drive efficiencies, productivity, team engagement and impact.
- Develop processes to ensure the team completes actions and business tasks in a timely manager, proactively sharing information and resources across teams and regions and recognising milestones and achievements
- Manage calendars, appointments, schedules and travel arrangements including itineraries to make best use of time
- Oversee pay to contractors and procurement process and assist with CEA team reports, letters, presentations, events and research, as required
- Screen and respond to incoming correspondence, inquiries and phone calls and external visitors to the site
- Create and edit documents, spreadsheets and presentations, prepare reports, meeting minutes and expense reports
- Co-ordinate meetings or conferences, locally and globally
- Initiate purchase requisitions and purchase orders (PO's) and monitor to completion, including allocating invoices to PO's for payment

Your Experience
- Diploma or degree qualified in Business Administration/Secretarial studies
- 5+ years' administrative support experience including strong working knowledge of Microsoft Applications (including Outlook, Word, Powerpoint, Copilot)
- Knowledge of business operations and strong organisation/planning skills
- Experience with SAP products (Workday) and Share Point preferred
- Agility, adaptability and a can-do attitude
- Ability to take initiative and work in fast-paced environments
- Excellent verbal and written communication skills, with the ability to relate to people at all levels and with diverse backgrounds.
CSL has embraced flexible working arrangements and a hybrid working model, with office-based staff expected to be in the office a minimum of three days a week
