Admin Assistant, R&D Japan

Position Purpose:

The Admin Assistant is responsible for supporting the Leadership team and R&D Japan function ), by taking over multiple tasks and creating conditions that enable the R&D LT and team to focus on business, organization, and people priorities. Admin Assistant must also act as a liaison between R&D LT and the internal/external stakeholders. Admin Assistant leads the planning and execution of Executives visits.

Main Responsibilities and Accountabilities:

1 Manage PO/PR and Invoice Process for R&D Japan

2 Manage contracts/documents/stamps etc for R&D Japan

3 Execute expenses / budget work (Travel Expenses Report, draft, review of R&D cost center OPEX budget/forecast, etc.)

4 Support R&D LT as team assistant in execution of team admin tasks;

  • Manage schedule, arrange meetings, appointments, liaising with related parties
  • Arrange domestic/overseas business trip, liaise with other relevant team for scheduling, etc, communicate with overseas offices, collect info on behalf of R&D LT, where appropriate
  • Translate business documents/presentation slides/messages, etc.
  • Draft the Meeting Minutes whenever it is required.

5 Event Lead / Support
  • Lead and coordinate (with other relevant team members where needed), and execute planning of executive visitors, including local logistics, catering, meetings, dinner etc
  • Lead and coordinate R&D THM, offsite meetings with communication, arrangements, logistics etc.
  • Manage new leadership members' onboarding program.

6 Support business operation:
  • Internal communication, event planning with other functions
  • Draft internal announcement

7 Liaise closely with other leadership team members and the employees

Position Qualifications and Experience Requirements:

Education

Bachelor degree holder is preferred

Experience

Previous experience as a secretary/assistant in a foreign company highly preferred, including proven ability to manage priorities, plan and execute, while communicating/collaborating with multiple stakeholders

Competencies
Customer focus, collaborative, drive results Priority setting, planning and execution skills Self-starter, problem solving Interpersonal verbal & written communication in Japanese and English Skills in MS Office Word, Excel, PowerPoint, Outlook, Access, etc. Leadership/Management skill Knowledge of basic Finance and Accounting Cultural awareness and sensitivity Discretion and confidentiality
