Key Responsibilities
• Champion our safety-first culture and ensure compliance with all safety protocols in every aspect of shop operations.
• Manage track licensing, registration, and permits for all fleet vehicles and equipment, including IRP, Hazmat, and Overweight certifications. Oversee quarterly tax filings for apportioned plates.
• Coordinate dispatch for a small fleet of move and water trucks, ensuring optimal efficiency and reliability.
• Administer timesheets for all hourly shop employees, including drivers and mechanics, with accuracy and timeliness.
• Order and maintain fuel and supply inventories, monitor shop tanks, and oversee FURS collection to keep our operations running seamlessly.
• Handle data entry and records management for our CMMS (Work Order System), ensuring precise and up-to-date information.
• Partner with Procurement on purchase orders and diligently manage shop purchase card allocations.
• Keep equipment files current to meet DOT compliance and update equipment location maps for tracking.
• Source parts and supplies, file compliance reports with regulatory agencies, and support all documentation needs.
• Assist the Equipment Manager, Shop Manager, and Sourcing/Purchasing Agents in achieving operational excellence.
• Promote a positive and inclusive work environment, upholding our mission and core values.
• Contribute to the implementation of the 5S methodology and participate in safety and performance meetings.
• Regular and reliable attendance, plus flexibility to support operational needs as they arise.
Qualifications
• 1-2 years of experience supporting managers, ideally in a busy shop or equivalent operational environment.
• High school diploma or GED required; post-secondary education is an asset.
• Strong verbal and written communication skills and the ability to manage confidential and sensitive information with discretion.
• Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and aptitude for learning new technology.
• Demonstrated strengths in customer service, problem solving, organization, time management, and working both independently and as part of a team.
• Experience in construction, heavy equipment, or logistics is a plus.
Work Requirements
• Must be 18 years of age or older.
• Must pass pre-employment physical, drug screen, and criminal background check.
• Must have and maintain a valid driver's license meeting state requirements; willingness to travel or work off-site as needed.
• Strict adherence to all company safety policies, OSHA/MSHA regulations, and use of required PPE in designated areas.
• Ability to work flexible hours, including nights and weekends, when operational needs demand.
• Commitment to professionalism, a strong work ethic, and a positive, respectful attitude with colleagues and customers.
Physical & Work Environment Requirements
• Ability to communicate clearly via phone, email, and in-person interactions.
• Proficient in using computers for word processing, data entry, and document management.
• Frequent sitting with occasional standing, walking, kneeling, and lifting up to 10 lbs.
• Occasional work in outdoor, noisy, or dusty environments as operational needs require.
