Position Overview
Join our dynamic team as a Safety Administrator, where you'll partner closely with the Safety Manager to champion a culture of safety throughout the organization. Leverage your technical and administrative expertise to streamline document control and reporting across the safety department. Collaborate with supervisors and field personnel to support the safety needs of all our business units, making a meaningful impact every day.
Key Responsibilities
- Build strong relationships and work effectively with individuals at every level of the organization, especially field employees.
- Motivate positive safety behaviors by creating a welcoming, engaging environment for new and current employees across all companies and regions.
- Ensure timely and accurate recording and uploading of safety-related documents into established databases and systems.
- Organize and maintain support files and records for all incidents and injuries, including general liability, auto liability, workers' compensation, and other applicable claims.
- Create and maintain DOT qualification files in regulatory compliance.
- Reinforce company policies and procedures that drive our safety goals.
- Manage MSHA training records to ensure compliance.
- Promote and uphold the company's safety standards and discipline guidelines.
- Actively participate in incident review processes and Human Performance Coaching sessions.
- Order, maintain, and distribute PPE supplies to employees as needed.
- Generate clear, concise reports using Microsoft-based products and other company systems.
- Model exemplary safety behavior at all times.
- Independently carry out assigned tasks and projects from start to finish.
- Maintain regular, predictable attendance as scheduled.
- Perform other duties as assigned, contributing to the overall success of the safety department.
Qualifications
- Ability to perform all essential duties with professionalism and excellence.
- Education/Experience:
- Associate degree in a related field preferred, or equivalent combination of education and experience.
- Experience in workers' compensation claims management is highly desirable.
- Experience managing DOT records is preferred.
- Proficiency with Microsoft-based products required.
- Bilingual candidates strongly encouraged to apply.
Work Requirements
- Must be at least 18 years old with a valid driver's license.
- Ability to pass pre-employment physical, drug screen, and background check.
- Commitment to strict safety requirements and procedures as outlined by company policy.
- Willingness to work collaboratively and assist others as needed.
- Professional and courteous attitude toward coworkers, supervisors, and the public.
- Flexibility to travel and work away from home as required.
- Availability to work nights and weekends when necessary.
- Adherence to PPE requirements in production and operation areas as defined by OSHA/MSHA (including hard hat, safety glasses, hard toe shoes, gloves, and safety vest).
- Compliance with all OSHA and MSHA regulations.
- This position is classified as "safety sensitive."

Knowledge and Skills
- Strong working knowledge of computer systems and programs, especially Microsoft Office.
- Understanding of OSHA, DOT, and MSHA regulations.
- Broad knowledge of workers' compensation regulations or the ability to quickly learn.
- Exceptional oral and written communication skills.
- Analytical thinking and process improvement expertise.
- Ability to read and interpret technical documents and regulations.
- Talent for building relationships and trust at all levels of the organization.
- Self-motivation and eagerness to learn new systems, processes, and procedures independently.
Physical Requirements
- Primarily office-based, with occasional requirements to walk, climb, bend, push, pull, and lift objects (up to 50 lbs).
- Ability to stand, use hands and fingers to manipulate objects, talk, and hear.
- Vision requirements (with correction) include close, distance, peripheral, depth, and focus adjustment.
- Frequent sitting and use of hands required.
Work Environment
- Standard office environment with occasional exposure to dust, noise, fumes, and varying weather conditions.
- Potential for serious injury exists if safety precautions are not observed.
- Fast-paced atmosphere with deadlines.
- Noise levels may range from moderate to loud in some areas.
