Position Overview

Tilcon New York is seeking an Executive Assistant to serve as a strategic partner to the President and Executive Leadership Team. This role is responsible for supporting executive leadership by coordinating critical business priorities, managing confidential communications, and overseeing executive operations. The Executive Assistant exercises discretion and independent judgment in managing executive schedules, facilitating communication among stakeholders, coordinating key initiatives, and anticipating organizational needs. The ideal candidate will possess exceptional communication, organizational, and relationship management skills, along with the ability to handle sensitive business matters with the highest level of professionalism and confidentiality.

Roles and Responsibilities

(Essential Duties and Functions)

  • Serve as a trusted partner to the President and Executive Leadership Team, exercising discretion and independent judgment in managing executive priorities, communications, and strategic initiatives.
  • Act as a primary liaison between the Executive Team and internal and external stakeholders, representing executive leadership in a professional and confidential manner.
  • Independently assess, prioritize, and coordinate executive schedules, balancing competing business demands and ensuring alignment with organizational objectives.
  • Manage sensitive and confidential communications on behalf of the President, exercising judgment regarding content, priority, and appropriate responses.
  • Coordinate and facilitate executive meetings, including preparation of agendas, presentations, briefing materials, and follow-up action plans to support business objectives.
  • Monitor and track key initiatives, commitments, and deliverables for the Executive Team, proactively identifying potential conflicts, risks, and deadlines requiring executive attention.
  • Draft, review, and prepare executive correspondence, reports, presentations, and other business communications requiring a high degree of professionalism and confidentiality.
  • Exercise independent judgment in resolving routine and complex administrative matters, determining appropriate courses of action, and escalating issues when necessary.
  • Coordinate domestic and international travel arrangements for executive leadership, making independent decisions regarding logistics, scheduling, and travel priorities.
  • Manage executive meeting logistics and events, including coordination with internal departments, vendors, and external stakeholders to ensure successful execution.
  • Prepare and process purchase requisitions, expense reports, and related documentation while ensuring compliance with company policies and procedures.
  • Support executive-level projects and initiatives by coordinating resources, tracking progress, and facilitating communication among stakeholders.
  • Develop and maintain effective working relationships with senior leaders, business partners, and executive assistants throughout the organization.
  • Support corporate community engagement initiatives, charitable programs, sponsorship activities, and executive participation in external events.
  • Provide guidance and coordination for executive office operations, including oversight of administrative processes and selected facilities-related activities.
  • Exercise sound judgment in handling confidential business information and maintain strict confidentiality regarding organizational matters and executive discussions.
  • Anticipate executive and organizational needs, proactively identifying opportunities to improve efficiency, communication, and administrative processes.
  • Lead or participate in special projects as assigned, supporting business objectives and organizational priorities.
  • Regular and timely attendance is required.


Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education/Experience

Required
  • Bachelor's degree preferred.
  • Minimum of five years of progressively responsible experience supporting senior executives, executive leadership teams, or corporate operations.
  • Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and and abilities may be considered.


Knowledge/Skill Requirements
  • Demonstrated ability to exercise discretion, sound judgment, and independent decision-making in a fast-paced environment.
  • Exceptional written and verbal communication skills.
  • Ability to manage multiple priorities, competing deadlines, and sensitive matters with minimal supervision.
  • Strong organizational and project coordination skills.
  • Advanced proficiency with Microsoft Office Suite, Outlook, and executive support technologies.
  • Ability to build effective relationships and communicate with individuals at all levels of the organization.
  • High degree of professionalism, confidentiality, and business acumen.
  • Strong attention to detail and commitment to accuracy.
