About the role

We are currently looking for an ambitious and enthusiastic Customer Service Representative (Administrator) to join our Sales team based in Ternat, Belgium. In this role, you will ensure accurate administrative support, high data quality, strong financial follow-up, and excellent customer service, while also supporting the team during peak periods and fluctuations in workload.

Purpose of the role:

• Act as the first point of contact and internal ambassador for our customers, ensuring a smooth and efficient process from inquiry to order.
• Deliver accurate administrative support and maintain high data quality across all systems.
• Provide customers with correct and complete information so orders can be processed efficiently and correctly.
• Manage customer inquiries, quotations, orders, returns, and credit notes with a service-oriented and solution-driven mindset.
• Ensure strong financial follow-up by supporting billing activities and monitoring relevant documentation.
• Proactively communicate with customers regarding changes, delays, issues, or alternative product options in case of stock shortages.
• Support the team during peak periods or fluctuations in workload.
• Collaborate closely with internal stakeholders such as Finance, Logistics, Procurement, Production, and Sales to optimize processes and customer satisfaction.
• Maintain and update customer data, ensuring accuracy and completeness.
• Prepare pricing checks and pre-work for sales representatives, including contract price validation.
• Register technical requests in C4C and process administrative order flows through applicable systems (e.g., SUMO, KORBO, Configurator).

Your profile

• You operate at least on a Bachelor degree level or have equivalent experience through proven administrative expertise.
• You have 1-3 years of experience in administrative Customer Service or Sales Administration, ideally in a technical or industrial environment.
• You have experience with customer contact (both telephone and email) and feel comfortable acting as a central point of contact.
• You have solid administrative skills and experience with data management, documentation, and accurate order processing.
• You have working knowledge of ERP systems (Dynamics AX / D365 FO, SUMO, KORBO) and understand customer data, item codes, and stock-related processes.
• You are familiar with configurator tools (Plakaform, Plakatube, HBS Couplers) or are eager to learn them.
• You understand return and credit note processes and ideally have experience with tools such as Airtable CN.
• You have basic knowledge of invoicing and financial follow-up processes.
• You can work with CRM systems such as C4C and have a good working knowledge of Microsoft Office.
• You are customer-oriented, solution-focused, accurate and a reliable team player who can handle varying workloads.
• You collaborate easily with internal departments such as Finance, Logistics, Procurement and Production.
• In addition to Dutch, you have a good knowledge of French and a basic knowledge of English.
