A promising opportunity has arisen in our Customer Operations Shareholder Information Team!

Customer Operations Shareholder Information Team is one of the Operations Team within Hong Kong region, responsible for providing back end support for processing shareholders' requests into the system.

The Customer Operations Senior Officer must deliver all the daily jobs within agreed timeline and service/quality standards, e.g. according to our operation procedures.

This role is also expected to work collaboratively across various teams within Operations, this is significant, in order to prepare, scan and classify all the shareholders' instructions within service level and comply with compliance into the system.

A role you will love

The Customer Operations Senior Officer will work closely with all Operation teams and Investor Services Team to ensure all shareholders' instructions are prepared and scanned into appropriate transaction types for timely processing. The incumbent is responsible for monitoring and overseeing the incoming mails scanning as well as forwarding faxes and emails to responsible teams promptly, in accordance with established procedures and SLA.

Some of your key responsibilities will include:

  • Monitor and oversee the sorting of incoming documents including incoming mails, transfer document, proxy forms and corporate action forms ensuring accuracy, timeliness and compliance with established procedure and SLAs
  • Supervise the scanning process to ensure all documents are scanned in accordance with relevant procedures and meet business goal of same day scanning service standards
  • Collaborate with other department to facilitate document delivery
  • Conduct regular quality check on sorting and scanning to ensure compliance with operational standards
  • Provide guidance and support to team members to maintain consistent service quality and productivity
  • Support corporate action activities if needed
  • Undertake ad hoc duties or tasks as assigned by management

What will you bring to the role?

To ensure the services to clients are delivered on time, this role requires attention to detail and some basic judgment based on best practice and previous experience. The role holder is expected to respond and resolve problems by identifying and selecting solutions from seeking manager's advice, which will be guided by clear policy and procedure.

Other key skills required for the role include:

  • Diploma/Associate Degree or above
  • Min 3 years of working experience in digitization and imaging would be a definite advantage.
  • Good command of written and spoken English and Cantonese
  • Proficient in PC skills including MS Excel and Word
  • Team player, with strong interpersonal and communication skills
  • Self-motivated, well-organized and detail-minded
  • Proactive, work independently under pressure
