Facilities at Computershare manage the global real estate portfolio and associated facilities services that support key stakeholders and their lines of business across regions of North America, EMEA and APAC.

The Regional Administration Lead, North America will be responsible for coordinating regional administration required to upkeep governance and compliance of Facilities operations as directed by the Head of Real Estate and Facilities. The role will be responsible for gathering and organizing relevant data for developing business case drafts and will also provide operational administration support to the Head of Real Estate and Facilities.

The role liaises and collaborates with the Facilities Governance Officer, as well as key business stakeholders, internal departmental stakeholders and external facilities providers.

Some of your key responsibilities will include:

  • Accountability for all Regional Facilities operations and governance policies and procedures.
  • Establish and maintain regional adoption of global operational policies and procedures, playbooks, standards, to promote good internal governance and external compliance with local authorities.
  • Provide the Head of Real Estate and Facilities with admin support to ensure compliance with company and function owned policies and processes.
  • Provide the Head of Real Estate and Facilities with admin support in gathering relevant data and to organize same to collate draft business cases for capital expenditure projects, property proposals and operational changes.
  • Be the Regional SME Super User for all key data management compliance for key databases and operational processes such as ESG reporting, real estate data, health and safety data, Facilities Portal Page, rental payments processes, purchase orders processes and for other key databases and operational processes as required.
  • Specifically, be the ESG data reviewer sign off for the region.
  • Support the Head of Real Estate and Facilities Manager by providing training and coaching to the FM team in the purpose, accuracy and timely gathering and input of key data, monitoring their compliance periodically.
  • Foster continuous improvement, best practice, compliant, efficient, and cost-effective facilities operations.
  • Establish trust and confidence with key business and internal departmental stakeholders.
  • Draft and circulate meeting agendas and take minutes/actions on regional facilities related activity such as project meetings, stakeholder meetings and quarterly H&S committee meetings.
  • Support the wider facilities management team with administration tasks as requested
  • Collaborate with the Global Health and Safety Administrator to ensure the region is delivering on the requirements of the global Health and Safety program.

What will you bring to the role?

We are looking for individuals who are high-level strategic thinkers with a strong operational background in finance and/or real estate and excellent process management/time management skills. The ideal candidate will possess exceptional leadership abilities, and excellent data analytical skills. To be successful you will be passionate about providing a service to internal/external stakeholders with a commitment to working as part of a team.

Other key skills required for the role include:

  • Graduate degree level or equivalent in business, commerce, real estate or related field.
  • Minimum 2 years' experience in a large corporate firm conducting Facilities and or Corporate real estate operations (required).
  • Excellent understanding of Facilities operations and real estate portfolio management.
  • Good understanding of developing policies and procedures as they relate to operation and compliance.
  • Excellent MS office skills including data management, reporting and analysis.
  • Advanced MS Excel, MS Word and MS PowerPoint skills (required).
  • Ability to work effectively in both independent and collaborative situations.
  • Communicate and influence debate across small and large groups and develop a strong rapport with team members across the organization.
  • Externally, the role holder must be able to engage with property counterparts, to express Computershare's needs and gather feedback for further consideration.
  • Strong time management, accountability and flexibility

This position may require up to 20% travel based on business need.
