Location: Zurich, Switzerland (Hybrid)

In this position, you'll be based in the Zurich office for a minimum of three days a week, with the flexibility to work from home for some of your working week. This role has in-office operational requirements and so we're unable to consider employees who wish to continue an existing, fully remote working arrangement. A role you will love

Vesting refers to the point in time when an individual acquires the rights and interests associated with the legal ownership of a property. It establishes an immediately secured right to present or future deployment of those assets.

The Plan Specialist within the Vesting Team will be responsible for managing the full vesting lifecycle-from event preparation and execution through to the final delivery of shares to participants. This role requires strong coordination skills, consistent communication with clients and internal stakeholders, and the ability to respond effectively under time pressure.

Key responsibilities include:

  • Manage daily plan operations, including reporting, participant requests (tickets and email), and participant communications.
  • Maintain accurate plan and participant data on the EquatePlus platform and take end-to-end responsibility for assigned client events across the plan lifecycle.
  • Ensure high-quality operational and technical services within Compliance and Risk guidelines, escalating irregularities when needed and cooperating fully during audits.
  • Analyse client plans and support development of system configurations and processes in collaboration with internal and external stakeholders, under guidance of a Senior Plan Specialist.
  • Participate in management-assigned projects and contribute to continuous process improvement.
  • Follow company ethical standards, time-management rules, and all employment, operational, health, safety, and fire-hazard regulations.
  • Protect company property and maintain strict confidentiality of all company information.

  • Relevant experience in financial services, banking operations, or similar mid/back-office environments, supported by vocational training in a financial institution or equivalent.
  • Ability to understand and apply procedures for administering employee share plans, with willingness to learn through structured training.
  • Strong attention to detail, sound judgment, and ability to resolve issues within defined policies and procedures.
  • Capable of managing and prioritising a personal workload while consistently meeting quality and time standards.
  • Clear written and verbal communication skills, able to handle moderately complex queries and sensitive situations professionally.
  • Collaborative mindset with the ability to work effectively across teams and provide guidance to junior colleagues when needed.
  • Comfortable working in a fast-paced, high-volume environment with a hands-on, organised, and solution-oriented approach.
  • Flexible and adaptable to changing processes, priorities, and client needs.
  • Proficiency in MS Office (especially Excel, PowerPoint, Access); SQL knowledge and understanding of deferred compensation or pension schemes are beneficial but not required.
  • Strong English communication skills; German language skills are an advantage.
