A fantastic opportunity for the position of Meetings Services Specialist has now become available in the Computershare Corporate Services Bristol business unit to assist with the liaison with client managers and other internal departments in preparing and managing company meetings, including organising meetings and associated tasks including document production, SCRIP system meeting set up and associated electronic shareholder voting options, reporting of meeting voting figures and personnel and technical support in attendance at certain meetings when required.

A role you will love
The Meeting Services team is responsible for the distribution of proxy voting instructions, setting up of electronic voting channels, the collation of votes and the delivery of final figures ahead of a company's Annual General Meeting and any further ad hoc company meetings throughout the year.
Some key responsibilities:
- Prepare Meeting documents, system set up and provide final meeting figures before the meetings are carried out
- First point of contact for the Client Managers across Registry and Plans, CCS and other internal departments that may have an involvement with a client meeting.
- Input data to systems - Cosmos Company, CRMOD, SCRIP, Broadcast, Equatex and CREST
- Production of Form of Proxy through Encompass or Computershare Communication Services (CCS)
- Set up of electronic voting - Electronic Proxy Appointment (EPA), Equatex and CREST
- Set up of shareholder meeting notification through email broadcast service
- Provide technical and personal support at meetings
- Production of voting figure reports
- Submission of Plans voting totals to Custodians
- Prepare and issue Meeting finalisation and final billing invoices
- Track and complete tasks in Event Management
