Facilities Database & Reporting Administrator
Location: Bristol (Hybrid)
In this position, you'll be based in the Bristol office for a minimum of three days a week, with the flexibility to work from home for some of your working week. If you have a remote location recorded in Fusion this arrangement will continue to be honoured if you are successful in your application, provided that:

A role you will love
The Facilities Database & Reporting Administrator is accountable for collating and analysing local, regional and global facilities data to be used for both strategic and tactical decision-making purposes. Provides routine and ad-hoc workplace reports for internal Facilities reviews and business case submissions.
You will coordinate regional contacts for compiling data to support Global ESG goals, communicate with and assist business functions in understanding their real estate usage patterns and overall real estate footprint.You will also support the Global Head of Safety & Security by directly managing all aspects of the Facilities portal page and databases for the global real estate portfolio and provide reporting as required from the databases.

The role will involve coordination with regional teams for the accurate and timely upkeep of databases including but limited to ESG (environmental carbon emissions), Real Estate, Projects Listing, Health and Safety, WITO (Who Is In the Office) and the CPU's desk booking tool.
Key Responsibilities
- Collaborate with the global ESG team, and the Regional Heads of Facilities and their Regional Administrators, in the routine data gathering of quarterly and ad-hoc ESG regulatory reports, audits and to track global ESG goals.
- Support strategic and tactical reviews of the Facilities portal page, databases and desk booking tool that may lead to change out of databases and tools or the modification of same. Develop a suite of facilities occupancy reports for managing the real estate portfolio including lease tracking, critical dates, accrual records, and key asset records.
- You will provide spreadsheet-based data support to subject matter experts (SMEs) within the Facilities function, including but not limited to:
COO of Finance - supporting financial analysis and reporting related to real estate costs, occupancy metrics, and business case development.
Global Head of Facilities - providing strategic data insights and reporting to support global portfolio management, footprint optimisation, and executive decision-making.
Regional Heads of Facilities - assisting with region-specific data reporting, portfolio reviews, and operational performance tracking to support local decision-making and global alignment.
Workplace Design SME - contributing data insights for space planning, design efficiency, and utilisation metrics.
Health and Safety SME - enabling accurate reporting and analysis of health and safety metrics, near miss data, and regional compliance indicators.
Operational Compliance Lead - supporting compliance tracking, audit readiness, and reporting of operational standards across sites.
Security Business Partner, assisting with data collation and reporting related to security operations, access control metrics, and incident tracking.
What will you bring to the role?
The successful individual will be able to form relationships with a wide range of stakeholders across our global business. They will also need to have experience of administering and maintaining Facilities related databases, alongside excellent excel skills and the ability to handle large amounts of data and provide succinct and timely reports to stakeholders.
Key attributes
- A high level of experience managing data on excel and database reports.
- Experience of working in a large complex organisation, ideally with global exposure.
- Strong stakeholder engagement skills, clear communication and able to provide BAU and ad-hoc reports on time.
- Able to respond to a wide range of queries from the business, make rational judgements, identify issues and present solutions.
- Experience of Power Bi would be preferrable but not essential
- Exposure to ESG data and reporting would, again, be ideal but not essential
