A promising opportunity has arisen in our Customer Operations Shareholder Servicing Team!
Customer Operations Shareholder Servicing team is one of the Operations Team within Hong Kong region, responsible for shareholders on Payment and Certificate Replacement in related operations and processing.
The Customer Operations Assistant Officer is responsible for the day-to-day payment and certificate replacement process, follow the update-to-day the requirement according to the procedure on work item processing, and to ensure the payment and share certificate replacement processed are complied with the regulations.
A role you will love
The Assistant Officer will work closely with all Operation teams and Investor Services Team, Client Facing Teams and also IPO team to ensure all shareholders' instructions will be carried out timely and accurately. All tasks should be delivered under our operation procedures and comply with Compliance. The tasks should be closely monitored so that all replacement requests can be timely handle.
Some of your key responsibilities will include:
- Maker process on day-to-day certificate replacement cases process, such as issue letters to shareholders with required replacement documentation; and issue letters to HKEX for the stop certificate notification; and administration tasks
- Maker process on day-to-day dividend warrant replacement and revalidation cases; FPS/ autopay rejections and related replacement cheque handling; issue letter to bank/issuer for stop payment/re-issue replacement cheque; administration tasks
- Co-ordinate tasks with different teams (Operations, Investor Services, Client Facing, Legal and Compliance, etc)
- Ensure all shareholders' instructions can be delivered up to standard and within agreed timeline
- Make sure all shareholder replacement request is handled accurately in the system under standard internal audit process
- Communicate and work closely with offshore team
- Comply with all applicable operation procedures and report any potential risk and suspicious transactions to line manager immediately

What will you bring to the role?
To ensure the services to clients are delivered on time, this role requires attention to detail and some basic judgment based on best practice and previous experience. The role holder is expected to respond and resolve problems by identifying and selecting solutions from seeking manager's advice, which will be guided by clear policy and procedure.
Other key skills required for the role include:
- Degree/Associate Degree holder in any disciplines
- Relevant experience in banking /security industry is preferable
- Proficient in PC skills including MS Excel and Word
- Self-motivated, well-organized and detail-minded
- Team player, with strong interpersonal and communication skills
- Self-motivated, well-organized and detail-minded
- Proactive, work independently under pressure
