Overview

The Administrative Coordinator provides administrative support to the Executive Director, Field Learning and the Field Learning Leadership team to ensure effective team and departmental operations. S/he will support various processes, programs and initiatives including calendaring, travel planning/preparation, meeting and event planning, correspondence, expense management. Key qualifications include strong written and verbal communication skills, accuracy in completing responsibilities promptly and with high quality. The role demands experience, follow-through, judgment, creativity, and adaptability in achieving goals. Responsibilities

Support Executive Director, Field Learning (70%)

  • Manage Executive Director's calendar and schedule: Proactively schedule meetings, appointments, and travel arrangements, considering priorities, potential conflicts, and facilitating last-minute changes.
  • Provide proactive administrative support: Perform various administrative tasks such as expense reports, invoice processing, document management, and record-keeping ensuring timely responses and that deadlines are met.
  • Coordinate comprehensive travel logistics: Book flights, accommodations, and transportation, ensuring smooth and efficient travel experiences.
  • Coordinate all speaking engagements when needed:.
  • Support senior leader in building team culture: Proactively anticipate all upcoming team birthdays and anniversaries ensuring appropriate and timely recognition. Identify additional opportunities for celebration and connection. Engage and coordinate with other administrative staff when needed to support Field Learning's engagement and support of the broader Field Operations Services' strategy and process flow.


Support Field Learning Leadership Team (30%)

  • Book large meetings on behalf of Field Learning Leadership team members; prepare expense reports for Field Learning Leadership team members, book group travel for Field Learning Leadership team when needed; Plan and coordinate meetings: Gather topics and organize meeting agendas, create presentations, and distribute documents for various meetings and presentations.
  • Facilitate effective communication: Function as a point of contact for internal and external stakeholders, filtering communications and ensuring timely responses.
  • Manage team calendar: Manage annual team calendar and meeting cadence based on organization calendar and Field Learning priorities
  • Plan and coordinate offsites, Development Days. and experiences: Partner with internal stakeholders to plan and execute team offsites and events including holiday celebrations, volunteer opportunities, retreats, etc.

Minimum Qualifications

  • Bachelor's degree or equivalent experience
  • 1+ years of experience
  • Excellent communication skills including verbal, written and presentation
  • Experience in project management
  • Proficient in all Microsoft Office applications including Office 365
  • Ability to work effectively both independently and in a team based environment
  • Strong interpersonal relationship skills
  • Willingness to be flexible and adaptable to changing priorities
  • Detail oriented
  • Ability to set and manage multiple priorities
  • Aptitude to learn aspects of role and business
  • Ability to anticipate needs of others and have a sense of urgency
  • Servant's spirit


Preferred Qualifications

  • Bachelor's degree
  • Two to five years administrative experience
  • Preference for Chick-fil-A experience
