Administrative Coordinator, Culture
Overview
The Administrative Coordinator provides administrative support to the Sr. Director of Culture and the Culture team to ensure effective team and cultural operations. S/he will support various cultural programs and initiatives including the Alumni Association, the Backstage Tour, Culture Councils, Staff Survey, Devotion, and Cornerstones.
Key qualifications include strong written and verbal communication skills, accuracy in completing responsibilities promptly and with high quality. The role demands experience, follow-through, judgment, creativity, and adaptability in achieving goals.

Responsibilities
Support Sr. Director of Culture (40%)
- Manage Senior Leader's calendar and schedule: Proactively schedule meetings, appointments, and travel arrangements, considering priorities, potential conflicts, and facilitating last-minute changes.
- Provide proactive administrative support: Perform various administrative tasks such as expense reports, invoice processing, document management, and record-keeping ensuring timely responses and that deadlines are met.
- Coordinate comprehensive travel logistics: Book flights, accommodations, and transportation, ensuring smooth and efficient travel experiences.
- Coordinate all speaking engagements: Proactively support all speaking engagements and commitments including deck development, pre-reads, and scripting calls.
- Support senior leader in building team culture: Proactively anticipate all upcoming team birthdays and anniversaries ensuring appropriate and timely recognition. Identify additional opportunities for celebration and connection.

Support Culture Team (20%)
- Plan and coordinate meetings: Gather topics and organize meeting agendas, create presentations, and distribute documents for various meetings and presentations.
- Facilitate effective communication: Function as a point of contact for internal and external stakeholders, filtering communications and ensuring timely responses.
- Manage team calendar: Manage annual team calendar and meeting cadence based on organization calendar and Culture priorities
- Plan and coordinate offsites and experiences: Partner with internal stakeholders to plan and execute team offsites and events including holiday celebrations, volunteer opportunities, retreats, etc.
- Coordinate @ CFA Culture communications: Partner with internal stakeholders to ensure the Culture Portal is maintained and updated to optimize Staff use
Support the Alumni Association (20%)
- Partner with program lead for strategy and execution: Proactively partner with program lead to effectively execute Alumni operations to ensure a positive experience for all members.
- Facilitate Alumni communications: Lead all communication efforts delivered to Alumni including onboarding communication, announcements, newsletters, @Chick-fil-A pages, and SharePoint site articles.
- Support Alumni Day: Proactively support annual Alumni day programming including planning the ROS, catering, and arranging opportunities for connection and learning.
- Coordinate moments of care: Send annual birthday cards to Alumni members, arrange annual Alumni gift, and coordinate other moments of care as needed.
- Facilitate BOG distribution: Ensure all Alumni members receive their annual allocation of BOG cards.
Support the Backstage Tour (10%)
- Facilitate Backstage Tours: Provide Deluxe tours (120 minutes) to Operators and Team Members on Monday mornings in an engaging, fun and meaningful way that tells the Chick-fil-A Story and equips them to serve as culture ambassadors.
- Curate unique tour experiences: Partner with the Backstage Tour team to provide tours for special guests of the Executive Office and Cathy Family as needed.
Support Cultural Programs and Initiatives (10%)
- Provide additional support: Support other cultural programs and initiatives including Devotion, Culture Councils, and Cornerstones as needed and as available
Minimum Qualifications
- Excellent communication skills including verbal, written and presentation
- Experience in project management
- Proficient in all Microsoft Office applications including Office 365
- Ability to work effectively both independently and in a team based environment
- Strong interpersonal relationship skills
- Willingness to be flexible and adaptable to changing priorities
- Detail oriented
- Ability to set and manage multiple priorities
- Aptitude to learn aspects of role and business
- Ability to anticipate needs of others and have a sense of urgency

Preferred Qualifications
- Bachelor's degree
- Two to five years administrative experience
- Preference for Chick-fil-A experience
- Expert written communication
