The Patent Operations Coordinator will provide the operational foundation for Schwab's growing patent program, enabling the Schwab Patent Office to scale effectively and operate consistently, accurately, and efficiently. The Coordinator manages the patent docket and associated records, patent files, SharePoint content, recurring reports, meeting materials, inventor rewards and recognition records, and patent education event logistics. Working closely with Schwab Patent Office leadership, inventors, internal partners, and outside counsel, the Patent Operations Coordinator will help ensure deadlines, records, communications, and follow-up activities remain current, consistent, auditable, and ready for leadership reporting.
Key Responsibilities:
- Maintain accurate patent docket, patent matter records, correspondence, and recurring records using established governance and naming standards; review exceptions and escalate deadline or data-quality risks.
- Maintain Schwab Patent Office information and resources by managing Schwab Patent Office SharePoint content, document libraries, forms, and training materials, and ensure information is organized, accurate, easy to locate and up to date.
- Prepare and validate recurring reports, dashboards, meeting materials, action logs, and supporting documentation.
- Administer inventor rewards and recognition program including tracking, communications, eligibility records, and internal coordination.
- Coordinate Patent Forum support, on-site and virtual patent education events, stakeholder communications, logistics, and follow-up.
- Identify opportunities to simplify workflows, improve documentation, reduce manual effort, and strengthen reporting accuracy and timeliness.
- Maintain patent and related confidential information in accordance with established information protection and records-management requirements.

Success Measures:
- Patent docket, matter records, SharePoint content, and recurring trackers remain accurate, current, organized, and audit-ready.
- Key deadlines, follow-up items, action logs, and reporting deliverables are completed on time with minimal rework or escalation.
- Patent Office communications, meeting materials, education events, and inventor recognition activities are coordinated smoothly and consistently.
- Operational reports and dashboards provide reliable information that supports Patent Office leadership, Legal governance, and stakeholder decision-making.
- Recurring processes become simpler, better documented, and less dependent on manual follow-up over time.
What you have
Required Qualifications:
- Demonstrated ability to manage multiple deadlines, records, follow-up items, and recurring deliverables with strong attention to detail.
- Experience maintaining trackers, reports, document libraries, SharePoint pages, or comparable collaboration and records-management tools.
- Strong written and verbal communication skills and the ability to handle confidential or legally significant information with discretion.
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
- Ability to follow established procedures, identify data or process issues, escalate risks appropriately, and organize information for team and leadership use.
Preferred Qualifications:
- Experience supporting intellectual property, patent, legal operations, program management, or another deadline-driven professional function.
- Familiarity with patent docketing systems, invention disclosure processes, patent filing and prosecution milestones, or rewards and recognition administration.
- Experience coordinating on-site events, virtual education events, communications, meeting logistics, or recurring operational reporting.
- Coursework, certification, or professional exposure related to intellectual property, legal administration, or project coordination.
In addition to the salary range, this role is also eligible for bonus or incentive opportunities.
