Administrative assistant / Senior Legal Assistant

Job Purpose and Impact
The Administrative Assistant will make independent decision regarding planning, organizing and scheduling of more complex administrative/legal support. In this role, you will coordinate, integrate and implement corporate governance, assigned administrative or staff functions.
Office attendance - 4 days per week.
Key Accountabilities
- Apply detailed knowledge of department operations and infrastructure, policies and procedures to perform moderately complex administrative processes including external legal spend, invoices, administrative logistics and stakeholder interactions.
- Schedule and coordinate meetings, diaries and travel arrangements. Plans, coordinates and confirms logistics for more complex meetings and travel.
- Solicit, collect and organize documentation and data to perform moderately complex data entry into one or more digital or physical systems.
- Use digital and AI-enabled tools (e.g. document automation, search and workflow tools, etc.) to improve efficiency, manage workflows and support legal and governance processes.Handle complex clerical, administrative, technical or internal stakeholder support issues under minimal supervision, while escalating only the most complex issues to appropriate staff.
- Support corporate governance and entity management for Dutch legal entities, including maintaining corporate records, preparing board/shareholder documentation (relating to dividends, capital contributions, etc.), coordinating powers of attorney and signing authority, and assisting with regulatory filings and registrations with the Dutch Chamber of Commerce.
- Coordinate governance activities across legal, tax, finance and treasury teams as well as external stakeholders such as notaries and external counsel, supporting corporate lifecycle events (including restructurings, mergers, etc.) and ensuring timely execution of documentation and approvals in compliance with Dutch legal requirements.

Qualifications
Minimum Qualifications
- High school diploma, secondary education level or equivalent
Preferred Qualifications
- Minimum 1-2 years of relevant experience
- Fluent in English and Dutch
