Executive Assistant & Event Planner

We're looking for a trusted partner to our CEO — someone who thrives in a fast-moving environment, keeps things organized without losing the human touch, and sees supporting leadership as a way to create impact across the whole company. This role blends high-level executive support with strategic event planning and office operations management.

As the Executive Assistant & Event Planner, you'll do more than manage schedules — you'll be a connector, problem-solver, and culture champion who helps the CEO and leadership team stay focused on what matters most, while also leading the planning and execution of key corporate events that bring our brand and culture to life.

What You'll Do

  • Keep us moving forward: Manage the CEO's calendar, travel, and priorities with precision and foresight, ensuring time is invested in the right places.
  • Be a communication bridge: Draft, edit, and manage correspondence, ensuring the CEO's voice and values come through in every interaction.
  • Support decision-making: Prepare briefing documents, presentations, and follow-ups that help leadership make smart, timely decisions.
  • Elevate relationships: Act as a liaison with the Board, investors, partners, and internal teams—building trust and fostering strong connections.
  • Plan and execute events: Lead the strategy, planning, and execution of customer-facing and internal events—including conferences, trade shows, offsites, and celebrations.
  • Champion culture and experience: Ensure all events and office initiatives reflect our company's values, brand, and goals.
  • Manage logistics and operations: Oversee vendors, budgets, contracts, and timelines for both events and office-related projects.
  • Optimize the workspace: Manage office operations, supplies, and layouts to maintain an organized, inspiring, and functional environment.
  • Bring clarity and calm: Anticipate needs, solve problems before they arise, and create structure in the middle of a dynamic, evolving business.

Who You Are

  • A natural relationship-builder who communicates with warmth, clarity, and professionalism.
  • Highly organized and detail-oriented, with the flexibility to adapt when priorities shift.
  • A proactive problem-solver who anticipates needs and takes initiative.
  • Discreet, trustworthy, and able to handle sensitive information with care.
  • Creative and resourceful, with a strong eye for design and an appreciation for meaningful experiences.
  • Experienced in planning and executing events of varying scale and complexity.
  • Comfortable with technology, including Microsoft Office, Teams, and event management tools.
  • Calm under pressure, resilient, and solution-oriented.
  • 5-7 years of experience supporting senior executives (C-level preferred) and managing corporate or large-scale events.

Pay and Benefits

US$75,000.00 - US$85,000.00 Annually

Final compensation offered will be determined based on a number of job-related factors, including the candidate's skills, experience, and qualifications. Employees in this role are eligible to participate in the company's benefits program, which includes medical, dental, and vision insurance, 401(k) with company matching, accrued vacation, floating holidays, and designated company holidays.
