Role Description:

The Lead Executive Business Partner (Lead EBP) is a crucial role, partnering with the SVP to effectively coordinate the department operations and manage the support team for the Extended Leadership Team (ELT) members. This position enables the SVP and senior leadership to focus on long-term strategy by managing day-to-day and mid-term activities, enabling them to scale effectively.

This role demands strategic thinking, business acumen, and the ability to develop efficient processes for both short and long-term planning and execution. Key to success is building and maintaining strong relationships with both internal and external stakeholders. The Lead EBP must excel in cross-group collaboration at all levels, possess excellent communication skills, and thrive in a fast-paced environment.

Furthermore, this role involves managing and leading the department's team of Executive and Administrative business partners. This includes ensuring department Leadership achieves their objectives in a timely manner, developing individual skills through experience and best practices, and instilling a continuous learning environment within the team.

Key Job Responsibilities and Duties:

Strategic Business Partnership

  • Collaborate directly with the SVP to align and prioritise activities with overarching business objectives
  • Cultivate and maintain strong relationships with internal and external stakeholders to advance business initiatives
  • Act as a trusted advisor to the department Leadership Team Member (SVP), providing insights on individual and team dynamics
  • Ensure clear alignment on business priorities, interdependencies, and needs between the SVP and the broader business
  • In partnership with Business Operations, HR Business Partners, FP&A, Internal Communications, and other relevant stakeholders, establish and refine the department's operational cadence (i.e. annual planning, people cycles) to ensure accountability, ownership, and timely delivery of priorities
  • Facilitate seamless communication between Global Communications and the department to identify and leverage short-term and long-term communication opportunities, ensuring this collaborative approach is embedded throughout the department

Executive Support & Operations

  • Take full ownership of the SVP's calendar and inbox, proactively managing communications and preparing/sending emails on their behalf to both internal and external stakeholders
  • Coordinate and actively facilitate SVP's LT Meetings, including note-taking and follow-ups. Possess the ability to challenge and influence top management as needed
  • Provide end-to-end planning and support for meetings and events, including but not limited to offsites, all-hands, Q&As, and working sessions
  • Assume full responsibility for all delegated tasks on behalf of the SVP (i.e. Workday, Concur)
  • Manage all aspects of leader onboarding and offboarding processes
  • Oversee the comprehensive planning of business trips and travel needs for the SVP, including logistics, visas, itinerary coordination with multiple stakeholders, and the compilation/development of preparation materials for meetings and presentations
  • Ensure that Leadership adhere to company policies and effectively manage the allocated budget
  • Facilitate a process for obtaining signatures for the SVP

Team Leadership & Craft Development
(Administrative/Executive Business Partnering Community)

  • Team Management: Fully accountable for managing, coaching, and developing the team of A/EBPs. This includes executing and delivering on business performance management cycles, ensuring alignment with peers for fair processes, and adhering to compensation management guidelines
  • Hiring & Staffing: Fully accountable for hiring and staffing, continuously advocating for the craft of A/EBPs
  • Craft Community Strategy: Provide input to the strategy, roadmap, priorities, and objectives for the A/EBP craft within the relevant department
  • Continuous Craft Development: Actively drive and support the continuous development of the E/EBP craft to ensure it remains fit for purpose. Identify gaps, and collaborate with other stakeholders to create solutions

Qualifications & Skills:

  • 5-8 years relevant experience e.g. administration/ operational/ business support/executive assistant to VP/SVP, preferably in large/multinational organisation
  • Having experience with managing matrixed teams is an advantage
  • Creative and 'out of the box' thinking in order to proactively drive business
  • People oriented; strong relationship and stakeholder management skills, and able to engage with people across all levels, and from diverse backgrounds
  • Be curious: You seek to understand others before you act. You take the time to check both the "what" and "why" in ambiguous situations to allow you to navigate complexity in an open-minded way
  • Commercially aware and results-driven with an independent and proactive attitude
  • Highly organised with excellent planning skills. You take ownership and proactively solve problems, often before it reaches your SVP
  • Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and focus on efficiency without sacrificing quality
  • Excellent communication. Fluent in English, verbal and written (additional language(s) an advantage but not required)
  • Comfortable with ambiguity and able to prioritise and make decisions without having all the information
  • Strong ethics and can handle confidential matters with discretion. You cultivate and promote the Booking.com values and culture within the department
  • Be an active member of the Leadership Support community, both across departments and within your own department
  • Available to offer support outside of normal business hours, or travel internationally, as required
  • Excellent with Google suite, including Google Calendar, Google Sheets/Slides (or similar)
  • Passionate about AI and automation - keen to simplify and enable
