About This Role:

As the External Stakeholder Engagement (ESE) & Sponsorships Operations Team Lead, you will be an integral part of the GBS CoE ESE and Sponsorship Team, playing a pivotal role in advancing our global, regional, and country-level ESE and sponsorship processes. Leading a dynamic team of 4-10 Analysts, you will collaborate closely with Engagement and Sponsorship Owners across various functions to streamline future engagements, optimize review processes, and bolster operational support. Your leadership will drive process improvements and ensure the smooth flow of services and information, ultimately aiming to meet and exceed service levels. This role enables you to build and maintain relationships with internal and external stakeholders, acting as a key resource and escalation point for stakeholders. By providing operational guidance and ensuring compliance, you will support the seamless execution of stakeholder engagements and sponsorship requests, contributing significantly to Biogen's mission.

What You'll Do:

  • Lead and develop a team of Analysts, providing guidance and career development.
  • Optimize and oversee ESE & Sponsorship processes at all levels.
  • Act as a subject matter expert for the ESE tool, guiding team and stakeholders.
  • Ensure compliance with company policies and procedures.
  • Manage service delivery and maintain effective communication with all stakeholders.
  • Develop and implement process improvements and strategic initiatives.
  • Coordinate training and onboarding for new team members.
  • Manage project budgets and ensure timely closure of engagements.
  • Oversee contract management, from creation to finalization and storage.
  • Support project close activities with document collation and reconciliations.
  • Assist in audits and compliance monitoring, advising on procedural processes.
  • Lead continuous improvement efforts for ESE and sponsorship toolkits.

Who You Are:

You are a dynamic leader with a passion for process optimization and team development. Your ability to inspire and guide others is matched by your organizational skills and strategic mindset. You have a knack for building strong relationships and navigating complex situations with ease. Your proficiency in communication allows you to present complex information in an accessible manner.

Required Skills:

  • University degree or equivalent education and experience.
  • At least 4 years' experience in a fast-paced administrative or operational role, preferably in Pharma/Biotech.
  • Experience in people management or cross-functional project management.
  • Strong problem-solving and excellent communication skills.
  • Ability to manage ambiguity and complexity effectively.
  • Strong influencing and negotiation skills.
  • Excellent verbal and written communication skills in English.
  • Proficiency in workflow programs and MS Office tools.

Preferred Skills:

  • Experience with external stakeholder engagements and sponsorship processes.
  • Proficiency in other major EU languages.

Additional Employment Conditions

  • This role is in hybrid model of work.
  • Please note that the role requires a candidate to be a holder of work permit & residency in Poland.
