Here on the Apple Store Online team, we are responsible for Apple's largest store. Our main goal is to deliver a magical, personal digital experience where customers can shop, buy and learn everything Apple, wherever they are. Each customer should feel like they are our only customer and our job is to set the bar for the experience they receive. To run such an extraordinary store, it takes extraordinary people, and we are looking for someone to help us do extraordinary things.

As an Administrative Assistant within Apple Store Online, you are the right hand and partner to your leaders on the Quality and Commercial Programs Teams. You play a central role, connecting teams and managing key information.

Description

Our Administrative Assistants see around corners, anticipating needs and problem solving effectively. In addition, the role requires strong organization and the ability to think strategically to make the right decisions that support leaders' priorities. Collaboration and being a strong team player is also critical as our Apple Store Online Administrative Assistant team works together across Retail and Apple.","responsibilities":"Manage assigned leader's management systems, consisting of highly complex calendars that often require frequent rescheduling

Coordinate travel arrangements, visa requirements and expense reporting with precision

Oversee and coordinate managed meeting rooms

Support employee engagement initiatives in partnership with local Admins and ASO Business Planning

Manage offsite and meeting logistics to optimize team efficiency

Track offsite and key meeting dates

Assist with meal or refreshment coordination when leaders are unable to step away

Preferred Qualifications

5+ years experience supporting senior leaders with administrative support including strategic calendar prioritization, event planning, travel logistics, expense reporting and project management

Demonstrated ability to take initiative, build trust and maintain strong cross-functional relationships

Extraordinary organizational, time management and administration skills with an exceptional response rate, solutions-oriented approach and relentless tenacity

Experience tackling ambiguous challenges with curiosity and creative problem solving skills

Proven ability to handle confidential business matters with discretion while remaining calm and confident under pressure

Experience working effectively in a highly matrixed organization across time zones

Strong negotiation and interpersonal skills

Passion for building team culture and fostering a positive, productive work environment

Proficiency with Apple Calendar, Apple Mail, Apple Keynote, Quip, Slack, and other office systems

Minimum Qualifications

3+ years experience supporting senior leaders with administrative support including strategic calendar prioritization, event planning, travel logistics, expense reporting and project management

Experience providing high-level administrative support to executives in a dynamic, fast-paced environment

Strong written and verbal communication skills with extraordinary attention to detail
