Description

This administrative role provides comprehensive support for a large engineering team, focusing on essential operational tasks. Integrity, good judgment, the ability to stay calm and flexible as business needs evolve, and a good sense of humor are key traits for this role. The ideal candidate will stay ahead of the curve by anticipating challenges and addressing them before they arise. The goal is to meet the team's needs and solve problems before they become obstacles. As a collaborator with a friendly, approachable attitude, you will work closely with other cross-functional teams to keep systems running smoothly under tight time constraints to secure goods and contract services. You'll manage equipment inventory, order office supplies, and coordinate facilities. You'll also be engaged in ongoing projects such as event planning and new hire onboarding.

The role requires both physical and cognitive skills to manage the dynamic environment effectively. Physical requirements include the ability to move between buildings, transport supplies, and handle light office tasks like setting up meeting spaces and events. This position is onsite and requires consistent in-office presence, with remote work supported but not primary.

Responsibilities:

High-volume purchasing for the group

Equipment inventory, office supply ordering, and facilities coordination

Working closely with finance and other related teams to ensure smoothly operating systems under tight time constraints to secure goods and contract services

Light project support and calendar coordination

Management and implementation of efficient administrative processes

Event planning

New hire coordination

Preferred Qualifications

High proficiency with a variety of applications such as Apple Calendar, Keynote, Pages, Slack, Quip, and Excel/Numbers

Ability to work well independently or collaboratively as needed

Experience working in a highly dynamic environment supporting a large group

Exceptionally proactive self-starter with phenomenal attention to detail, accuracy, and timeliness

Strong written and verbal communication skills; have the ability to exercise tact, discretion, and the initiative to efficiently meet the demands of all groups within the team.

Minimum Qualifications

3+ years of previous administration or equivalent work experience

Experience managing various projects and events from conception to completion

This role can require in-office presence up to 5 days a week
