Overview:
The Data Entry Clerk supports the Hong Kong Buying Office buying team in the administration support, data entry of orders into internal systems and run pre-set reports to obtain market intelligence. The role oversees the Corporate Import Requisition process from start to finish. Ensures that all new orders, order revisions and new vendor account setup are prepared and processed with pertinent information for entry. Communicates with all divisions as well the Global Buying Offices to resolve issues and expedite PO entry. The incumbent will also act as a liaison between vendors/contractors and Merchandising with regard to allocation requests and follow- up. This is a good opportunity for someone that is interested in a career in Sourcing and Buying for a large international retailer.
Job Responsibilities:
CIR Preparation and Tracking
- Files electronically Corporate Import Requisition (CIR) transmissions daily, from the Global Buying Offices for all departments. Prepares orders, order revisions and new vendor account setup with all the pertinent Import information.
- Reviews all information on orders, including but not limited to, ship /cancel dates, exiting port, ticket dates, vendor numbers
- Pack information and ensures established guidelines are adhered to.
- Delivers orders on a daily basis, for additional preparation and review.
- Maintains high quality standards for accuracy and timeliness of work.
Problem Solving/Communication
- Acts as a Liaison between the Global Buying offices and divisions for the resolution of all questions, concerns and problems associated with the transmission and processing of CIR's POs and Distros. This may include but is not limited to, communication with Global Buying office MA's, Buyers and Management, as well as Home office Planning and Allocation and Accounts Payable, for the purpose of clarifying existing information on the CIR, POs and Distros or obtaining missing CIR's, POs and Distros or information needed for timely entry of orders.
- Escalates system issues to the appropriate parties. Follows up with appropriate parties when information needed is not provided within a reasonable time frame.
- Consistently updates all necessary parties as to project / task status and ensures all are completed in the required time frame.
- Flexibility and willingness to support team members if needed e.g. absence of the others from office.
Job Requirements:
- At least 1 year clerical experience
- HKDSE or HKCEE or above
- Conversational English skills; other language or Chinese dialects a plus.
- Proficient in MS Excel, working knowledge of MS Word & PowerPoint
- Must be detailed oriented and clear communicator
- Curious and shows initiative
- Accounting knowledge or experience is an advantage
- Immediately availability is highly preferable
