About the Role

iCapital is seeking a highly organized and proactive Executive Assistant to support the Chief Investment Strategist and other Managing Directors across the New York and tri-state area offices. This role requires exceptional attention to detail, discretion, and the ability to manage complex schedules and logistics, particularly for an executive with a high volume of media appearances and public engagements.

Responsibilities

  • Coordinate and prioritize meetings, appointments, speaking engagements, and media appearances.
  • Track key deliverables, deadlines, and follow-ups across internal and external stakeholders.
  • Anticipate executive needs and proactively resolve scheduling conflicts and logistical challenges.
  • Serve as a liaison between the executive and internal departments, external partners, and media contacts.
  • Prepare briefing materials, agendas, and talking points for meetings, conferences, and media engagements.
  • Coordinate prep calls and logistics for events involving domestic and international participants.
  • Collaborate with the Research, Marketing, and Communications teams to gather materials and ensure readiness for engagements.
  • Plan and manage complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and scheduling across different time zones.
  • Process and reconcile expense reports in compliance with company policies and timelines.
  • Partner with the studio team to schedule and manage recordings for the Beyond 60/40 series, including guest coordination and calendar alignment.
  • Maintain a proactive outlook of studio availability and upcoming media commitments.
  • Collaborate with the Public Relations team to manage media scheduling, coordinate logistics, and plan future appearances.
  • Format and prepare internal and external communications such as memos, presentations, and reports.
  • Support fellow executive assistants and contribute to the broader Facilities and Administration team.
  • Assist with special projects and ad-hoc requests with flexibility and professionalism.

Qualifications

  • Bachelors degree is required
  • 7+ years of experience supporting senior-level executives, preferably in a fast-paced, media-facing environment
  • Strong organizational and time management skills with the ability to manage and anticipate needs
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • Experience managing complex schedules and coordinating global travel
  • Team-oriented with the ability to work collaboratively across departments
  • Comfortable operating in dynamic environments and adapting to evolving priorities
  • Commitment to provide executive support beyond standard business hours when needed

Benefits

The base salary range for this role is $100,000 to $125,000. iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus.
