Job summary:

We are seeking a detail-oriented and proactive Executive Assistant to provide comprehensive office and location support services. This role is essential in ensuring the smooth operation of daily business functions through effective administrative assistance and coordination.

The successful candidate will demonstrate a strong understanding of administrative processes and standards, possess excellent organizational and communication skills, and be capable of supporting teams with minimal supervision.

Key duties & responsibilities:

  • Provides various office and location support activities.
  • Identifies, enhances and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided; ensures the correct functioning of facilities, office and/or business support services.
  • Provides administrative support to assigned teams
  • Prepares correspondence, reports, presentations, agendas, minutes, etc.
  • Receives, screens and directs incoming calls, visitors, mail and e-mail.
  • Maintains files, records, calendars and diaries.
  • May arrange business travel, coordinate meeting arrangements, and/or track expenses

Skills & experience:

  • Requires knowledge of processes, methods and standards essential to complete administrative or client/customer service, including those that may require technical training or other certification (such as technical support, administrative assistant, etc.).
  • May require vocational training, specific product or "know your client" training and/or other educational experience.
  • No formal supervisory responsibility, though may provide mentoring, coaching and scheduling for less experienced employees.
