Project Coordinator

2 days ago• Las Vegas, NV

About us

Aristocrat is seeking a dedicated Project Coordinator to join our ambitious Project Management Office (PMO). At Aristocrat, we are committed to bringing happiness to life through the power of play, and our team thrives on collaboration and innovation. As a Project Coordinator, you will play a crucial role in ensuring the flawless execution of our software deployments, making a significant impact on our overall success. This is an outstanding opportunity to work in a dynamic environment where your attention to detail and organizational skills will be highly valued. Join us and be a part of a world-class team that is redefining the gaming industry!

What You'll Do

  • Review incoming software request forms for completeness, accuracy, and required approvals before they enter the delivery queue.
  • Validate customer, site, product, and licensing details against contracts, sales orders, and the customer record.
  • Return incomplete or inconsistent requests to the submitter with clear corrections needed, and track them to resolution.
  • Maintain the request log so status, owner, and turnaround time are visible to the PMO and Sales.
  • Confirm that the software versions on each order match the approved release, the customer's current environment, and any compatibility or regulatory requirements.
  • Cross-check versions against the release catalog, version control records, and approved deployment baselines before orders are placed.
  • Document verified versions so each deployment has a clear, auditable record of what was ordered and installed.
  • Audit project records maintained by Project Managers (schedules, achievements, status, risks, budgets, and customer contacts) for accuracy and timeliness.
  • Review customer survey submissions after deployments for completeness and validity, and confirm they link to the accurate project and customer.
  • Track and maintain the Project Management department's success metrics, such as timely delivery, schedule and budget variance, deployment success rate, customer happiness scores, and request turnaround.
  • Support Project Managers with scheduling, meeting notes, action-item tracking, and document control.
  • Prepare reports and dashboards on request volume, verification turnaround, audit findings, and survey results.

What We're Looking For

  • Associate or bachelor's degree in business, information technology, or a related field, or equivalent work experience.
  • 2+ years in project coordination, software operations, order management, or a similar role in a software or technology company.
  • Working knowledge of software release and versioning concepts (release numbers, patches, compatibility).
  • Experience reviewing records or data for accuracy and following up on corrections.
  • Strong skills in Excel or Google Sheets and familiarity with project tools such as Jira, Smartsheet, MS Project or similar.
  • Experience in a PMO or working with software deployment, implementation, or field services groups.
  • Exposure to version control or release management systems.
  • Experience with customer survey or feedback platforms.
  • Experience in a controlled industry where software versions need to align with approved configurations.
  • CAPM or similar project management certification.
