Your role
The Program Coordinator supports the Executive Search & Talent Advisory team by managing executive-level interview scheduling, candidate communications, offer administration, and recruiting operations. This role serves as a key partner to executive recruiters, hiring managers, HR, and legal teams, ensuring a seamless, professional, and confidential experience throughout the executive hiring process.
Responsibilities:
- Coordinate and schedule executive-level interviews across multiple time zones, managing complex calendars and logistics.
- Serve as a primary point of contact for candidates, ensuring a high-touch and positive candidate experience.
- Prepare, review, and distribute offer documentation, ensuring accuracy and compliance with company policies.
- Maintain candidate records and activity within Thrive, ensuring data integrity and reporting accuracy.
- Track candidate progress and provide status updates and reporting to recruiters and leadership teams.
- Partner with internal stakeholders to support executive search processes, operational excellence, and continuous process improvements.
- Ensure confidentiality and compliance throughout all stages of the executive recruitment process.
- Support onboarding coordination and contribute to optimizing recruiting tools, workflows, and processes.
Your background:
- Bachelor's degree or equivalent professional experience.
- 5+ years of recruiting coordination, executive recruiting support, HR operations, or related experience.
- Experience scheduling complex interviews and managing multiple stakeholders across global time zones.
- Strong organizational skills with exceptional attention to detail and the ability to manage competing priorities.
- Excellent verbal and written communication skills with a customer service mindset.
- Experience working with applicant tracking systems, CRM platforms, or talent management tools (Thrive experience preferred).
- Ability to handle highly confidential information with professionalism and discretion.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
- Demonstrated ability to work independently and collaborate effectively in a fast-paced, high-performing environment.
Preferred Qualifications
- Experience supporting executive search, executive recruiting, or senior-level talent acquisition.
- Experience partnering with senior leaders and executive stakeholders.
- Knowledge of recruiting compliance, offer administration, and onboarding processes.
