Patent Executive Assistant

The Patent and Innovation Strategies group is currently looking for a Patent Executive Assistant. The ideal candidate will have at least five years of experience providing a broad range of administrative support to high-level individuals. The responsibilities of this candidate include but are not limited to the following:

  • Answering telephones and directing to appropriate individuals

  • Arranging for client and internal meetings and conference calls; coordinating logistics that may be complex

  • Arranging for creation and access to client WorkSpaces; serving as file keeper for electronic or paper files

  • Assisting with matters related to finance

  • Assisting with time entry

  • Coordinating complex logistics between other offices, groups, and teams

  • Coordinating complex logistics for group-wide training sessions and Minimum Continuing Legal Education (MCLE)

  • Coordinating with travel team to make travel arrangements

  • Gathering materials for new business development

  • Managing contact information for practice group, clients, vendors, etc.

  • Managing high volume of e-mails and identifing action items

  • Managing multiple Outlook calendars

  • Opening new clients, matters, and sub-matters; interfacing with New Business and Conflicts Team; managing matters related to ethical walls

  • Overseeing bar dues

  • Overseeing liability insurance

  • Managing all aspects of audit letters

  • Preparing wide variety of correspondences to clients

  • Preparing engagement letters that may involve unique arrangements

  • Serving as primary point of contact for clients and all external parties

  • Submitting expense reimbursements

The ideal candidate must be detail-oriented, efficient, flexible, results-oriented, and a self-starter. The ideal candidate has excellent communication skills, strong computer skills, and strong organizational skills. Experience in experience with biotechnology, chemistry or pharmaceutical applications and related matters, highly preferred. Also, the ideal candidate possesses the ability to prioritize and work in a fast-paced team environment. Occasional overtime work may be necessary.
