People & Business Operations Coordinator, WeWork Labs

The Coordinator, People & Business Operations will support the Director of People in managing HR-specific projects and processes, and coordinating various departmental needs. We are looking for a reliable, focused, and detail-oriented professional who is a highly resourceful problem solver and a quick learner. The ideal candidate has a passion for startups and an interest in pursuing a career in Human Resources or Talent Acquisition.

You will:

    • Act as the first line of defense for employees' day-to-day inquiries, escalating to People Director or other relevant channels when necessary

    • Help develop and own the onboarding process of new employees

    • Help develop and manage various People programs and initiatives within Labs (i.e. Internship Program)

    • Own HR systems and reporting, ensuring that all data is correct and up to date

    • Act as a Recruiting Coordinator and a Project Manager for searches conducted by Talent Acquisition Partners throughout the Labs organization globally: assist with posting and tracking open roles, schedule candidate interviews, ensure timely communication with candidates, provide timely updates and feedback to parties involved, own all of recruitment-related reporting, etc.

    • Help source passive candidates via various channels, including LinkedIn

    • Assist the People Director with various Talent Acquisition and Branding projects and initiatives

    • Be available, flexible, and open to assisting various stakeholders throughout the Labs organization with administrative tasks and ad hoc projects

    • Work in a highly collaborative environment and partner with diverse teams across global locations on special projects

    • Work on creating and documenting various business standards and process flows, using internal and external applications and tools

    • Assist in the management of organizational charts, contact lists, and other Labs documents for consistency and accuracy

    • Assist the Culture Team in organizing department events and team outings, serving as an ambassador of a positive and collaborative team culture


    • 2+ years of experience in recruiting coordination, project coordination, and/or admin experience in a fast-paced customer-focused environment

    • A "can-do" positive attitude, customer-focused approach to work, and excellent communication skills

    • Superb organizational skills and attention to detail

    • Ability to operate efficiently, remain flexible, prioritize work, and excel in a high-pressure, fast-paced environment with changing priorities

    • Proficiency in G Suite, Microsoft Office Suite, and Applicant Tracking Systems

    • Experience with scheduling in multiple time zones and arranging travel & lodging preferred

    • Bachelor's Degree in a related field
