Job Description

Wells Fargo Community Banking is seeking an Administrative Assistant in Omaha, NE at our Regency Branch. This position blends project management, event planning/organizing, and administrative experience supporting the NE/KS/MO Region Bank President. This position will report directly to Region Bank President Kirk Kellner. The team consists of District Managers, region partners, and branches across Nebraska, Kansas and Missouri. Ability to work variable schedule, including early mornings or evenings as needed.

Performs a variety of administrative tasks to support one or more senior managers. Duties include: using word processing to compose complex and/or confidential correspondence; balancing general ledger lines and/or expense accounts; researching general ledger issues; assisting with budgetary planning; compiling statistical data for financial planning; assisting, screening and/or selectively referring callers; handling complex and sensitive inquiries/call from external/internal sources. Provides support for larger projects managed by others. Acts as an information source on departmental/business unit policies and procedures. May work closely with both internal and external customers to meet their service needs. May be responsible for providing support to the business line staff in the areas of reporting, customer and business documentation. May establish office procedures and controls. May coordinate all special events or office functions. May direct the work of others.

Responsibilities Include:

  1. Management of Region Bank President's calendar, including scheduling and responding to meeting invitations, identifying overlaps, and resolving conflicts.

  2. Monitor the calendar throughout the day to manage any schedule changes

  3. Coordinate meetings, including executive meetings with internal and external business partners.

  4. Assist with guest arrangements, schedule conference rooms, and arrange for meals, refreshments, and any other accommodations as necessary

  5. Make all travel arrangements

  6. Prepare expense reports and submit via Concur

  7. Prepare reports and presentations using PowerPoint and Excel

  8. Prepare agendas, presentations and materials used in executive management meetings and in executive meetings with third parties

  9. Support the distribution of internal communications and manage related distribution lists

  10. Provide telephone support for the department including assisting, screening, and referring telephone calls

  11. Special projects as assigned

Required Qualifications

  • 3+ years of administrative support experience

  • Ability to provide administrative support, including responding to prospect/customer inquiries and requests for information
  • Ability to provide strong customer service and develop customer relationships
  • Ability to schedule travel and coordinate events
  • Excellent verbal, written, and interpersonal communication skills
  • Good project management skills
  • Knowledge and understanding of corporate event planning
  • Strong organizational, multi-tasking, and prioritizing skills
  • Experience delivering results in a fast-paced, deadline driven environment
  • Administrative support experience in banking or financial services
  • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
