We are looking for a high caliber candidate to join the administrative team in Singapore.

Administrative Assistant

Wells Fargo Bank’s Singapore Office is seeking a smart, positive-thinking, proactive, friendly and team-oriented professional administrative assistant. The Singapore office is comprised of business executives and senior leaders from multiple lines of business supporting our commercial and corporate customers’ financial needs in Asia Pacific.

Responsibilities:

The Administrative Assistant will be responsible for supporting the administrative needs of CDF with about 8 managers and the receptionist duties.

Specific responsibilities may include the following:

Administrative Assistant to CDF

  • Assist with co-ordinate client events
  • Assist with Travelling arrangement and expense reimbursements
  • Assist with vendor payments and processing
  • Manage calendars and schedule meetings
  • Update, print and bind presentations with PowerPoint, word and excel
  • Helping with visitors and guests of the Branch Office
  • Work with HR and Technology to set up work space, order equipment and stationery etc. for new team members
  • Perform other administrative duties and undertake ad hoc projects

Receptionist

  • Greet visitors; ascertain nature of business and direct visitors to employer or appropriate person.
  • Answers telephones, routes calls, takes messages on behalf of company and team
  • Schedules and co-ordinates meeting rooms and facilities.
  • Organizes meetings and conferences when required including distributing materials, arranging for refreshments, video conferencing etc.
  • Distribute incoming mail and other material and co-ordinate the flow of information internally and with other departments and organizations
  • Issues appropriate purchase requisitions and maintain office equipment, stationery and accessories for the company
  • Conduct regular security checks, be responsible for evacuation, in cases of emergency, acting as first point of contact for guests and the emergency services
  • Carry out instructions given by the management team

Requirements:

  • Several years’ relevant experience in office administration (experience in banking industry would be a plus)
  • Strong verbal and written communication skills in English
  • Excellent customer service ability
  • Strong familiarity with computer applications
  • Ability to perform under pressure and meet deadlines
  • Meticulous, organized and detailed oriented
  • Ability to multitask and function independently and proactively with minimal oversight
  • Ability to work in a team environment

Market Skills and Certifications Requirements:

  • Several years’ relevant experience in office administration (experience in banking industry would be a plus)
