The role of Executive Assistant is responsible to perform professional and strategic driven administrative support to our EMEA Vice President of End User Computing. The position functions under minimal supervision. Contacts are frequent within and outside of the company and involve obtaining or providing information on matters of some importance to the company and may be of a sensitive nature.

Success in the Role: What are the performance outcomes over the first 6 - 12 months you will work toward completing?

  • Business admin support in all interpersonal, communicational, and administrative matters on a very high level
  • Implement process improvements where needed and lead projects to increase productivity for EUC
  • Orchestrator for regional priorities and take ownership where needed
  • Proactively Design communication for Vice President and regional leads
  • Provide decisions templates for Vice President and regional leads proactively
  • Lead a complex diary management including the booking and management of domestic & international travel via external portal system
  • Extensive inbox management - task filtering, ownership routing, tracking of actions and holding any deadline
  • Arranging team meetings including managing all pre-reading, attending & taking minutes in meetings, following up on outstanding actions, budget management and relevant PO Management
  • Manage expense report submissions for the executive and checking of team members reports.
  • Coordinate general administrative and organizational matters, e.g. organizing files; set up new starters; team holiday tracker; updating organization charts
  • Preparation of moderate to complex spreadsheets and high-level presentations using e.g. MS Excel / PowerPoint
  • Compose and edit correspondence on behalf of the executives
  • Gather data from a variety of sources for inclusion in reports and presentations
  • Interpret and relay company policy information; keeps executive informed of any deviation on items that may require personal attention and approval
  • Act as a liaison between groups under the responsibility of the executive
  • Handle confidential material meaningful to company operations

The hiring manager for this role is Ralf Gegg, EMEA Vice President of End User Computing Sales. Ralf has been in VMware since 2008. In his position, he has overall responsibility for Sales, People and Culture. The End User Computing business in EMEA as well the EUC management team is fast driven, thinks big, develops high potential and has a strong culture.

Where is the role located?

Flexible: The role is considered flexible and will be a mix of working from a local VMware office and remote depending on your preferences and the arrangements determined with your future manager. You will be expected to live within a reasonable non-daily commute of the office. Preferred locations are London - UK, Munich - Germany, Cork - Ireland.
