Office Manager

Ultimate Software is looking for extremely detailed and service oriented Office Manager who has experience in facilities management and event planning. Our Office Manager is the ultimate organizer, making sure that the workplace meets the needs of employees. This is a diverse role with a range of responsibilities. You will be involved in both strategic planning and day-to-day operations regarding office maintenance, supply management and event planning. You will make a point of getting along very well with all the employees – knowing when ‘good cheer’ is needed, and knowing when people need space to get their work done.

Primary Responsibilities:

Facilities Management:

  • Initiating and managing relationships with vendors, service providers and building landlord
  • Identify office deficiencies and determine and execute appropriate solutions and repairs
  • Act as office contact person for office expansion project and facility upgrades
  • Clear and organize workstations for new employees, coordinate internal employee workstation moves
  • Ordering and stocking office supplies, kitchen supplies, snacks and beverages
  • Maintain overall cleanliness and organization of kitchen areas and meeting rooms

Event Planning:

  • Planning and coordinating employee events such as team outings, celebrations and charity fundraisers
  • Ordering, setting up and taking down office meal catering and seasonal decorations
  • Maintaining office event calendar and making postings on company intranet

Reception:

  • Reception coverage for lunch breaks and vacations
  • Completing UPS parcel shipping and receiving
  • Checking in visitors through security system and setting up security badges

Other:

  • Work closely with management team and HR to execute on programs to provide the best level of service for the employees
  • Participate as Joint Health and Safety Committee member
  • Act as key office contact for internal Business Continuity program
  • Responsible for delivering and maintain Ultimate culture through excellent service and employee focus



Requirements:

  • 3+ years of related work experience
  • Resourceful and highly motivated self-starter
  • Excellent interpersonal skills and ability to communicate effectively
  • Warm and positive attitude
  • Must be “hands-on”
  • Great time manager and able to work on multiple items and deadlines at a time
  • Proficient in Microsoft Office
  • Experience working with outside vendors and negotiating contacts is an asset
  • Previous experience with health and safety is an asset
