Giving Trips Specialist

Job Summary

The Giving Trips Specialist will be responsible for the development, planning, logistics and execution of TOMS giving trips. This individual will be responsible for the end to end execution of trips for TOMS employees, and will be required to manage expectations of travelers as well as giving partners in the field, create memorable experiences for the employees while balancing in the programmatic needs of the partner, ensuring a safe, enriching experience is had by all. This role will also be expected to track metrics associated to trips, and provide insight and suggestions based on their analysis.

Giving Trip Planning and Logistics
  • Manage all trip logistics for assigned trips including air, hotels, meals, supplies, in-country transportation, interpreters, etc. Giving Coordinator will be delegated to book flights, hotels, transportation etc .
  • Review traveler information and documentation to insure all travel requirements are met (visas, valid passports, vaccinations, etc.)
  • Coordinate with Giving Partner on creation of trip itinerary/agenda
  • Facilitate all cross-functional communication when needed (i.e. sharing partner information with transportation or security support)
  • Utilize online trips portal for all employee engagement
  • Leading Trips (9-12 per year)
  • Create a rich Giving Trip experience in line with overall Giving Trip objectives
  • Manage all in- the- field trip coordination and movements for all TOMS travelers and support staff on assigned trips
  • Provide instruction and direction to TOMS travelers; manage travelers expectations
  • Cultivate a sense of unity, collaboration and openness among travelers through candid dialog and opportunity for strong bonds to be developed; manage diverse group dynamics
  • Facilitate communications between travelers and partners to insure objectives related to education and engagement are achieved
  • Supervise traveler's activities to insure traveler's health and safety are protected
  • Serve as cultural ambassador on the ground
  • Lead emergency response activities (if needed), such as administering first aid/CPR or evacuation
  • Develop and manage in-country vendor relationships
  • Respond effectively to often challenging international environments
  • Manage in country security team, when necessary
  • Maintain all trip supplies including first aid kits, OTCs, water and snacks
  • Serve as trip photographer

Communications & Engagement
  • Develop trusting relationships with leadership and employees across TOMS departments (what is the purpose - can we include this in the JD?)
  • Develop close working relationship with TOMS giving partnerships team
  • Prepare and educate travelers prior to trip departure
  • Execute pre- and post-trip orientation sessions for trip participants
  • Support post-trip engagement; help travelers apply learnings and maintain levels of inspiration achieved through their Giving Trip experience
  • Provide daily reports to (which manager?) manager as well as post-trip report and recommendations for future trips

Giving Trip Expense Tracking
  • Manage trip budget, expenses and reporting for assigned trips
  • Collect, organize and consolidate all receipts post-trip for trip expense reports

Requirements and Qualifications
  • Authorized to travel internationally with a valid passport
  • Lead with positivity while working 12+ hour days, focused on meeting all traveler needs
  • Remain focused in a fast-paced environment with a high level of activity
  • Achieve objectives with a high level of autonomy and sound decision making
  • Carry supplies, water and equipment weighing up to 40 pounds
  • Awareness of safety-concerns and risk management and remain calm in a crisis situation
  • Knowledge and interest in domestic & international current events
  • Strong passion for travel and relationship building

Education and Experience
  • 2+ years of experience leading group travel internationally in developing countries; travel in Latin American countries a plus
  • Education or experience in international development a plus
  • Fluent in Spanish language, both written and oral
  • Experience with global NGO work and the conditions faced by NGOs in the field
  • Proficient in MS Office
  • CPR/First Aid Certified, or willing to become
