Overview of the Role
Main responsibilities are support of the fund team in every aspect of its day to day running. This is an all-encompassing secretarial and administrative role. As member of the assistant’s team the administrative assistant will report to the Assistant Team Manager.
Main Duties and Responsibilities
Document management (manage proactively signatures, printing, binding, archiving)
Liaising with external service providers and business partners, drafting own correspondence, answer requests of service providers, internal tracking of investment offers
Coordinate, organise and facilitate a high volume of meetings, conferences, investor days (including international conference calls/video conference calls/WebEx-meetings)
Ensuring all deadlines are met and that managers are fully prepared for meetings (assisting with the preparation of presentations: updating and creating presentations, printing and binding)
Further administrative tasks, minor projects, occasional event organisation
Diary Management – intelligent and reliable travel arrangements with complex itineraries in liaison with other offices, proactive prioritising and filtering
Updating and maintaining client and property management database (PRD) and tracking list
Regularly updating the footfall list of all shopping centres managed by our office
Preparing and keeping track of Fund invoices, circulating statement of accounts/balance statements
Responsible and reliable handling of bank guarantees/rental security deposits (approval/registration/secure filing/mailing)
Preparing NDA’s/prepare upon instruction, formatting and circulating LOI’s
Provide D&B reports
Typing of correspondence
Translating of reports and presentations (German/English), preparing, formatting and proof-reading of investment recommendation papers
Maintaining up-to-date and organised filing systems (physical data storage) for fund documents (fund management/properties/tenants), extensive documentation and filing for purchases/sales
Prepare travel expenses, petrol receipts
Collaborating with other members of the Frankfurt assistants’ team to ensure that there is adequate cover (telephone duties, holiday cover, reception, etc.)
Mail service to the team including posting, copying and scanning, couriers
Further administrative tasks
Technical Skills & Qualifications Required

Very good knowledge of MS Office (Outlook, Excel, PowerPoint, Word, One Note), Adobe Standard, DocuSign
Knowledge of virtual call systems appreciated (Zoom, WebEx, MS Teams)
Experience as a team assistant or a similar role, preferably in an international environment
Knowledge of German travel expense laws and regulations appreciated
Trouble shooting skills and basic technical knowledge appreciated
Very good German (incl. orthography) and English language skills
Property/Fund experience appreciated
